Unit / Project Description

 

The Michael G. DeGroote Centre for Transfusion Research (MCTR) in the Department of Medicine at McMaster University, is a leading academic research centre dedicated to improving health outcomes for blood donors and transfusion recipients through innovative, high-impact research. MCTR’s diverse research portfolio includes clinical trials, large-scale database studies, and laboratory-based discovery science.

 

We are seeking a motivated and experienced Project Coordinator to work closely with MCTR’s Directors and the Research Project Manager to oversee administrative operations, support faculty, trainees and research teams, and implement the strategic priorities of the Centre. 

 

This role requires a dynamic and collaborative individual who is highly organized, self-motivated and has a passion for research excellence.

 

 

 

Job Summary:

 

The Project Coordinator will be responsible for providing effective and efficient management of a wide variety of activities relating to the operation of a research institute including administration, financial management and human resources. Focal point for the development and maintenance of internal relationships, as well as high profile external colleagues in business, government and the wider research community. Responsible for public relations, marketing and support of research initiatives. This position requires independent decision making and the exercise of leadership in consultation with and reporting to the Director.

 

 

 

Accountabilities:

 

  • Collect, analyze, assess, and summarize information relevant to the decision-making process and develop recommendations for final approval and implementation.
  • Participate in the development, evaluation, and review of institute resources.
  • Organize, coordinate, and assist with educational programs and events such as retreats, education days, bi-annual conferences and other capacity building programs.
  • Communicate and work collaboratively with various internal and external organizations and departments. 
  • Coordinate all meetings between institute staff, researchers and the high-profile stakeholders; resolve scheduling conflicts.
  • Facilitate and participate in meetings with various individuals including, but not limited to, program stakeholders and groups. Follow up as necessary with respective or potential partners.
  • Assists in some research literature reviews, editing research presentations and digital processing for research grant applications.
  • Develop the institute budget for review and approval.
  • Exercise appropriate controls, monitor and reconcile both operating and research accounts
  • Implement and maintain the institute’s budgets and expense reports. Create financial projections and make adjustments to the program budget throughout the fiscal year.
  • Ensure that financial accounts and reports are completed and managed competently and efficiently.
  • Complete processes and paperwork required for recruitment, hiring, and payment of all new student staff. 
  • Write a variety of documents including, but not limited to, reports, correspondence and minutes.
  • Provide faculty and staff information regarding program policies and information about program requirements. 
  • Gather and compile information required for a variety of documents and reports.
  • Update and maintain records and databases.
  • Act as a liaison between the institute and various stakeholders with regards to facility operations.
  • Ensure adherence to health and safety requirements and maintain the training database for staff.
  • Provide efficient facility management such as coordination of moves etc. at the designated hospital site. 
  • Provide front line service to faculty and staff by assisting with the implementation of the strategic plan, monitoring/completing periodic reviews, timelines for research projects. 
  • Act as first point of contact for internal faculty, staff and many external agencies (government and private sector) and disseminate information such as research activities and events.
  • Implement the planning, coordination and marketing of research and media launches, seminars and conferences relating to the research focus.
  • Oversee the development, production and maintenance of research institute communications tools. i.e. Website, twitter, brochures, etc.
  • Assist with the content production for brochures.
  • Assist in building a network of research collaborators and partners from other departments, other universities as well as government and private organization.
 

 

 

Skills and Qualifications:

  • Bachelor’s degree in a relevant field of study.
  • Requires 3 years of relevant experience.
  • Experience with the following is considered an asset for this role:
    • Working in a health research or academic environment supporting senior leadership.
    • Managing complex scheduling with the ability to anticipate and resolve conflicts.
    • Demonstrating strong organizational skills and the ability to successfully manage multiple initiatives concurrently.
    • Being proactive, highly professional and with a demonstrated commitment to advancing an organization’s mission.
    • Possessing digital literacy, including experience with website maintenance, newsletter platforms, and social media management for professional organizations.
    •  

      Planning meetings and events, including scheduling, agenda development, preparing pre-reading materials, generating meeting minutes, and executing follow-up activities. 

       

       

    • Managing competing priorities and high-profile stakeholder relationships with minimal supervision.
