Your Opportunity
Our Vancouver office seeks an experienced Administrative Assistant to support our growing Building Science Services group.
Your Key Responsibilities
General Administration
- Track & schedule internal and external lunch-and-learns, sales events, etc.
- Support administration activities such as project workload scheduling, quality management, health and safety, equipment ordering, and booking
- Agenda/minute taking
- Coordinate safety, technical training, and social activities
- Format documents related to Expert Opinion Reports
- Litigation Support
- Filing, Records retrieval
- Assist with coordinating letters of assurance
- Support Proposal Coordinators when needed
- Assist Operations Lead and Practice Lead’s as needed
Document Management
- Assist with technical documentation of processes, tools, and reference documents
- Work with the technical development coordinator to post completed documents to SharePoint using assigned metadata
- Support practice leads in the development of new documents and templates and the formatting of existing documents
- Contract Administration including managing change orders, risk, and scope/change management
Qualifications
Your Capabilities and Credentials
- Excellent research, writing, organizational, and communication skills
- Detail oriented
- Understanding of architecture, building envelope, and construction industry concepts, terms and processes a plus
- Ability to work independently, take initiative, and multi-task to meet deadlines in a fast-paced environment
- Experience working with teams in multiple offices
- Excellent working knowledge of Microsoft Office products with emphasis on Word, Excel, PowerPoint and Outlook
- Experience with SharePoint is a plus
- Confidence in interacting with all levels of management and clients
- Experience within the Architectural/Engineering/Construction industry is a plus
Education and Experience
Undergraduate degree or equivalent years of experience.
Minimum 5 years of experience in an administrative support role.
Graphic design and/or production experience are a plus.

Salary Range(s):
- Lower Mainland $24.00 Per Hour - Lower Mainland $33.00 Per Hour Min/Max Pay Range for postings located in BC (Lower Mainland includes Vancouver & Burnaby)
The final agreed upon compensation is based on individual education, qualifications, experience, and work location. At Stantec certain roles are bonus eligible.
