Job Summary

The Research Awards & Funding Officer is responsible for the coordination of research grant submission for all researchers within the Faculty of Medicine (FoM), including grant application procedures and Faculty approval processes. The Research Awards & Funding Officer also prepares research funding data analysis to leadership, faculty members, and various units across FoM as needed.

They will have the ability to assess and implement work required to achieve objectives, strong organizational skills, diplomacy and the ability to provide leadership in creating positive and supportive work environments. The incumbent will work with leadership and faculty to develop infrastructure systems of support in all areas of administration, policy and procedure interpretation, proposal and other resources to support faculty and other research units in their work.

The incumbent is required to develop, foster and maintain excellent relationships, both internal and external to FoM and the University. This position acts as the administrative representative for the Office of Research, contributing to FoM, UBC units and partner organizations through participation in various committees, working groups, meetings and projects.

The Faculty — comprised of approximately 2,600 administrative support, technical/research and management and professional staff, as well approximately 620 full-time academic and 14,000 clinical faculty members — is composed of 19 academic basic science and/or clinical departments, 3 schools, and 26 research centres and institutes. Together with its University and Health Authority partners, the Faculty delivers innovative programs and conducts research in the areas of health and life sciences. Faculty, staff and trainees are located at university campuses, clinical academic campuses in hospital settings and other regionally based centres across the province.

This position reports to the Manager, Research Operations, and may also receive broad guidance from the Associate Director, Research Programs and Administration, Senior Director, Research and Vice Dean, Research, FoM. Internally within FoM, the incumbent will also develop, foster and maintain highly functional collaborations with the Directors and senior administrators of FoM Research Centre and Institutes, the Heads, Directors, and senior administrators in the Departments and Schools, as well as other administrative units within the FoM (e.g., Finance, Faculty Affairs). External to the FoM, this position will also establish productive relationships with staff at the Office of Research Services (ORS), Support Programs to Advance Research Capacity (SPARC), the innovation UBC (iUBC), and other units within the Office of the Vice-President Research & International (VPRI). External to the University, the incumbent may also liaise and build collaborations with partners in the health authorities, funding agencies, and other universities.


Work Performed

Research Grant Application Facilitator

  • Develops and manages the research grant application process, including developing requisite synergies within the research community.

  • Identifies funding sources and formulates budgets to ensure that all funding agency and university requirements are met.

  • Reviews applicants for eligibility, coordinates signatories, and ensures all documentation is complete.

  • Advises on granting agency deadlines, policies and application requirements, application processing, and status of grant applications.

  • Builds databases, updates and maintains electronic records for grant applications (e.g. Researcher Information Services (RISe) database).

  • Monitors, identifies and disseminates information about RFA’s (Requests for Applications), PA’s (Program Announcements), and funding opportunities from various agencies.

  • Creates and updates MedNet webpages with new funding opportunities, deadlines, processes, as required.

  • Develops policies and procedures for grants and contracts in collaboration with ORS, UILO, and Faculty of Medicine.

Data Management

  • Develops research funding data report in support of the academic (i.e. internal and external) reviews of FoM Research Centres and Institutes, as well as Departments and Schools

  • Supports the FoM Leadership in their requests for data and analyses. Researches, identifies, recommends and analyzes all appropriate data sources, ensuring data integrity and quality, to respond to research requests and create tailored analytical reports.

  • Leads the development of the research funding data dashboard for the FoM Departments and Schools, in collaboration with the Digital Solutions team.

Research Advising

  • Provides subject matter expertise, authoritative advice and guidance to research funding opportunities and initiatives

  • Provides advice, guidance, and ensures compliance with both UBC and FoM policies, procedures, and guidelines, as well as research regulations.

  • Evaluates technological solutions to meet data and reporting needs to the FoM as related to research information management systems and reporting platforms and tools; provides advice and subject matter expertise as related to these areas

  • Researches current developments and trends in health research funding as related to strategic areas of research excellence at UBC, as well as developments and trends in software/tools used for research administration. Keep senior leadership informed on various research funding strategies.

General

  • Manages the Faculty of Medicine Indirect Costs of Research (ICR) waiver requests, provide recommendations to the Senior Director, Research or Vice Dean, Research, and prepare ICR Waivers as needed.

          

  • Manages faculty salary awards review process and coordination between FoM Dean’s Office, Department and Schools.

           

  • Develops and executes internal FoM selection of faculty awards programs (e.g., DUS and UKP).

  • Disseminates research funding opportunities and research-related news and events

    ·        Manages the content and distribution of the “Research Roundup” newsletter and maintains the  subscription list.

  • Organizes and delivers an annual seminar to faculty, staff and trainees on the general topic of research procedures and resources at UBC

    ·       

  • Assists with the development, implementation, and evaluation of online grants-related services, such as RISe, with ORS.  Involvement with introduction of such services to Faculty.

        

  • Liaises with ORS to forecast and project research process needs and requirements.

  • Performs other related duties within the FoM Office of Research as required.

Consequence of Error/Judgement

This position is responsible for a high degree of self-direction and is required to exercise excellent judgement and performance in all areas. Must be able to work independently and assume full responsibility for their decisions. Error in performance of the above-related duties could have significant impact on the effectiveness, image, and reputation of the Faculty of Medicine both locally and internationally. The position requires the successful candidate to perform their duties with very strong attention to detail. Providing incomplete or inaccurate information could result in misinformation and misstatements on the part of the Vice Dean, Research or Senior Director, Research to funding agencies, UBC senior administration, and external stakeholders. Erroneous or incomplete information provided to the research community could impact funding success or result in missed opportunities.

Supervision Received

This position will report to the Manager, Research Operations, and will also receive guidance from the Associate Director, Research Programs and Administration, and the Senior Director, Research. Works with considerable latitude. Work is reviewed in terms of effectiveness in achievement of desired results.

Supervision Given

No supervision of staff is expected with this position. However, in collaboration with the Manager, Research Operations and/or Associate Director, Research Programs and Administration, the incumbent may be responsible for delegating tasks and projects as appropriate to office staff and oversee work, and may supervise work study students, temporary employees and/or initiate new employees into routines and procedures.

Minimum Qualifications

Undergraduate degree in a relevant discipline. Minimum of three years of related experience, or the equivalent combination of education and experience.

Preferred Qualifications

The ideal candidate possesses an understanding and/or interest in University culture, an understanding and/or interest in medical/health research administration, familiar with national and provincial funding health funding opportunities e.g., CIHR, MSHRBC and a balance of creative, technical, analytical and social/interpersonal skills. 

  • Experience in an administrative position in a university or health care environment, with a working knowledge of UBC policy.

  • Demonstrated ability to communicate effectively both verbally and in writing including the ability to respond politely and diplomatically to both internal and external inquiries.

  • Demonstrated ability to work independently as well as in a team environment.

  • Demonstrated ability to provide guidance and direction to others.

  • Demonstrated ability to work collaboratively and interact with empathy, understanding, and humility with people from diverse backgrounds and with diverse identities, perspectives, and behaviors.

  • Proven problem-solving, counseling and judgment skills. Accuracy and attention to detail required. 

  • Strong project management skills with the ability to organize, prioritize, and manage multiple priorities effectively under pressure to meet deadlines – fast paced, high volume and critical deadlines.

  • Proven ability to adapt to and work effectively in a multi-tasked environment. 

  • An appreciation of the research activity at UBC and capable of identifying new trends in research.

  • In-depth technical knowledge software, systems, web interfaces, databases, spreadsheets, reports.

  • Excellent knowledge of MS office software.

  • Extensive knowledge of UBC systems RISe.

  • Knowledge of MS Sharepoint, Wordpress, PowerBI, REDCap, Qualtrics, Oracle is a benefit.
