Job Description

As the Office Coordinator for MLSE, you will be responsible for providing office services support and delivering winning customer service to all internal clients and visitors.  

RESPONSIBILITIES

  • Receive and sort incoming mail / overnight shipments / same day courier packages and coordinate pick-up with staff  

  • Manage items to be picked up both at reception and loading dock

  • Manager items to be picked up at loading dock for office personnel

  • Liaise with Security located at reception as it pertains to deliveries

  • Stamp outgoing mail and ensure delivery to Canada Post

  • Assist all MLSE staff on how to process overnight domestic, international and same day shipments

  • Act as main point of contact for all shipping partners (Purolator, FedEx, Canada Post, Quadient)

  • Resolve missing and undeliverable letters or packages sent through Purolator, FedEx, Canada Post, etc.

  • Assist staff to prepare customs documents for all international shipments according to international shipping guidelines

  • Order FedEx supplies and ensure the mail room is stocked

  • Order basic office supplies and ensure mail room is well stocked

  • Maintain a tidy, safe and efficient mail room environment

  • Order supplies (condiment, cutlery, cups) for all Work Cafes and ensure they are stocked and maintained on a regular basis in the supply cupboard and on the floors

  • Provide some clerical support, assist in special projects and perform other related duties as required

  • Other responsibilities as assigned

QUALIFICATIONS

  • Minimum 1-2 years of experience working in a mail room or copy centre preferred

  • High degree of time management and organizational skills

  • High School Diploma or equivalent work experience

  • Excellent interpersonal skills with the ability to quickly develop professional relationships

  • Self-motivated and able to work with minimal supervision

  • Excellent written and verbal communication

  • Proficient use of Microsoft Word, Excel and Outlook

  • Ability to lift up to 25 lbs

  • A winning attitude

Please note:

- role is located at 50 Bay Street office

- this is part-time role of 30 hours / week, with a schedule of either 9:30-3:30 or 10:00-4:00.
