Job Summary
To manage operating and research financial activities, including clinical trials for the HLI Clinical Core mainly held at Providence Research (PR), the University of British Columbia, Providence Health Care and other affiliated institutions. The unit consists of research scientists, faculty members and trainees and staff and research personnel. 

In conjunction with the Finance Manager of Providence Research, manages project grants, research accounts and contracts by overseeing all expenditures, transferring of funds as necessary, evaluating financial priorities, overseeing the maintenance of internal records, and reconciling the financial services ledger sheets including resolving any discrepancies.

The role ensures compliance with institutional and granting agency requirements, assists with budget development and monitoring, and prepares financial reports and reconciliations. The position works independently within established guidelines and collaborates with Principal Investigators (PIs), research teams, and finance staff to maintain accurate financial records and support the effective management of research funds.


Organizational Status
Reports to the Providence Research Finance Manager. Works closely with the HLI Clinical Research Core Manager and respective Respiratory Medicine Principal Investigators.

Work Performed

  • Interprets and monitors financial policies and procedures established at PR, UBC, PHC and other affiliated institutions and the granting agencies that affect the use of grant funds, and ensures compliance with Revenue Canada and PR/University's regulations. 

  • Responsible for budget preparation for providing orientation and training investigators and staff with regards to financial administration of grants and contracts. 

  • Manages deficits that may result from research operations.  This would include proactively avoiding deficits and should they occur assists with mitigation strategies.

  • Responsible to prepare and submit invoices to sponsors and CROs according to contract terms.

  • Responsible to reconcile sponsor payments and resolve payment discrepancies or delays.

  • Monitors patient visit accruals and reconcile payments against enrolled participants and completed visits.

  • Ensure proper reconciliation of all expenses and revenue at end of study that final invoices and close-out payments can be issued in timely manner.

  • Responsible for preparing regular timely reports for the research manager Principal Investigator(s) (PI) pertaining to financial activities, actual vs. budgeted reports, etc. using UBC Workday and/or PHC, PR systems.

  • Responsible for preparing financial reports for the Principal Investigator(s).  

  • Ensuring that expenditures comply with granting agencies policies and terms of conditions.

  • Responsible for keeping individual PI’s up to date on their financial status assisting PIs with budget forecasting and management. 

  • Preparing financial and budgetary reports for the Finance Manager.

  • Analyzing financial statements and reconciliation of UBC, PHC, PR and Foundation accounts. 

  • Participating in evaluating and making recommendations for cost reductions with the unit. 

  • Managing the overall receiving and processing of invoices and cheques.

  • Opening and closing of new accounts as required.

  • Responsible for maintaining all financial records.

  • Preparing the financial information needed for completion of grant applications.

  • To support in developing develop efficient methods and procedures.

  • To provide support to PR finance team as needed.

Consequence of Error/Judgement
The impact if errors are very high and could seriously jeopardize the loss of grant awards if policies and procedures are not followed.  Shortage of Budget forecast could result in the loss of personnel, equipment and laboratory supplies.

Supervision Received
Works independently with minimal supervision direction and reports directly to the Providence Research Finance Manager, works closely with the HLI Clinical Core Research Manager and Principal Investigator(s).

Supervision Given
The incumbent may mentor, and train support staff(s) as needed.

Minimum Qualifications
Undergraduate degree in a relevant discipline. Completion of at least 7 of the 14 CPA academic prerequisites. Minimum of two years of related experience, or the equivalent combination of education and experience.

Preferred Qualifications

  • University degree or an equivalent combination of education, training and experience

  • Ability to work under pressure and meet deadlines

  • Ability to reconcile accounts and to resolve discrepancies

  • Ability to communicate effectively both verbally and in writing

  • Comprehensive process management and analytical skills

  • Working knowledge of computerized financial systems and procedures

  • Working knowledge of software programs such as Microsoft Office Suite (Word, Excel and Access), Workday and PeopleSoft

  • Ability to communicate effectively both verbally and in writing with others at all levels of the organization

  • Ability to organize and prioritize workload to meet deadlines and work under pressure with minimal supervision

  • Demonstrated collaborative problem solving and creative solution abilities

  • Ability to develop and maintain effective working relationships with internal and external stakeholders

  • Physical ability to perform the duties of the job
