Job Summary
The UBC Science Co-op Program assists qualified Science students every year in securing work placements with Canadian and international employers as part of their education experience. The Science Co-op Program offers a supportive and positive work culture, and this position is part of a dedicated team that is passionate about student success. The incumbent’s primary responsibility as the Employer Liaison and Marketing Assistant is to strengthen the relationship between existing employers and the Science Co-op Program, through managing the program’s website and social media channels, initiating effective email campaigns and other activities in promoting employer’s and student’s engagement with the Co-op program. This position is also responsible for overseeing and scheduling interview scheduling between employers and students, and assisting in the production of branding materials and publications, program’s outreach communication, and other relevant marketing initiatives.
Organizational Status
Reports to the Assistant Director, Administration of the Science Co-op Program. Works closely with the Program Director, Business Development Team, Program Coordinators and other Program Assistants. Works with employers to market, develop, and maintain academic related work opportunities for students.
Work Performed
Employer Relations:
• Promoting the Science Co-op Program and explaining program and processes to employers via telephone, email, and video call meetings
• Strategic outreach to existing employers by providing ongoing support and initiating email campaigns, follow-up calls, and perform internet searches for job opportunities suitable for the Co-op Program
• Curating effective marketing email campaigns to employers
• Sourcing relevant job opportunities using various online resources and assessing its suitability for the Science Co-op Program
• Accurately maintaining records of contacts and communication histories in internal databases
• Generating reports and completing job posting, interview and hiring follow-ups, and status updates
• Coordinating the annual Employer Recognition Awards. Tasks include: chairing the committee, awards promotion to students, sourcing the awards items, delegating tasks to other committee members, managing production and delivery of the award packages and coordinating final announcements, communications and promotional campaigns related to the event
Interview Management
• Oversees the interview scheduling process in Science Co-op, and delegating interview requests to Program Assistants
• Schedules Co-op interviews between employers and students within a short turnaround time, resolves interview scheduling conflicts when arise and handles interview cancellations
• Manages interview rooms on site
• Forwards job offers to appropriate Coordinators in a timely manner
Marketing Assistant
• Oversees the program’s social media account in promoting Science Co-op program to prospective students and employers
• Developing outreach communication plan and schedule social media posts (i.e Instagram, web) to further grow followers and awareness to the program
• Managing various annual student contests for student engagement
• Lead the social media committee and host regular meetings for input and feedback from the team
• Assists in the production of branding materials and publications
• Editing and developing content for program’s primary website, provide regular maintenance and update of the website
• Other administrative tasks related to the position
Consequence of Error/Judgement
Poor judgment, errors or delay in project deliverables has a significant impact on the program and may lead to loss of student jobs, potential financial support and the reputation and professionalism of the Co‐op Office. All Science Co‐op employees are required to follow UBC's information security policies and procedures. Failure to do so may result in a serious information security breach, which will cause harm to the University and third parties.

Minimum Qualifications
High School graduation, plus two year post-secondary diploma, plus four years of related experience, or an equivalent combination of education and experience.

Preferred Qualifications
• Related Co-op or marketing experience preferred.
• Experience or knowledge of Science an asset.
• Ability to effectively market, promote program and services to employers
• Proficiently use Outlook, MS Word, MS Excel, MS PowerPoint at an intermediate level.
• Ability to effectively use Adobe Creative Suite and manage Social Media channels such as Instagram and LinkedIn.
• Knowledge of HTML codes and proficient with website maintenance tools such as Drupal
• Have excellent phone manners and communication skills that is enthusiastic, proactive, and motivated in working with employers.
• Ability to prioritize and work effectively under pressure to meet deadlines.
• Ability to be accountable and responsible and ensure all projects and deadlines are met.
• Ability to be thorough, accurate, and have a high level of attention to detail.

The Science Co-op team operates with a hybrid work arrangement that offers up to two days a week working from home for those who are interested after their initial training period is completed.
