Educational Administrative Coordinator, Medical and Academic AffairsEducational Administrative Coordinator, Medical and Academic Affairs 

 

The Department of Medical and Academic Affairs at the Hospital for Sick Children is dedicated to supporting our Medical and Dental staff, Clinical Fellows, and Residents. The department also provides strategic, financial, and administrative support to the physician and scientific leadership and faculty in the departments of Diagnostic & Interventional Radiology (DIR), Paediatric Laboratory Medicine (DPLM), and Psychiatry.

We are currently seeking a highly organized and proactive Education Administrative Coordinator within the Department of Diagnostic & Interventional Radiology. The Education Administrative Coordinator will support administrative-related duties and facilitate the efficient coordination of medical learners in the department. This position will act as the central resource for all medical learners and serve as a key communication link within the department. The role will play a critical part in supporting the department's education vision, and will involve working closely with the Program Directors, Radiologist-in-Chief, and Manager, Academic & Business Affairs. The role is envisioned to facilitate the continual development and advancement of the Department of Diagnostic and Interventional Radiology educational mission.

 

Key Responsibilities:

  • Overall coordination of all matters related to the Diagnostic & Interventional Radiology Education Program.
  • Responsible for the Fellows and Elective/Resident portion of the Education program, including handling all correspondence and inquiries related to the program, liaising with medical learners before their arrival and during their training at SickKids.
  • Handle all inquiries and correspondence related to the education program
  • Manage and coordinate appointments and reappointments for the medical learners.
  • Coordinate and organize the accreditation of the Education Program.
  • Prepare external and internal review documents, organize, and maintain all academic events.
  • Organize, coordinate, and support conferences and events pertaining to the DI Education program.
  • Support the end-to-end fellowship selection process ' e.g. managing the application portal; preparing, updating, and processing applications; coordinating candidate interviews; etc.
  • Attend sessions and workshops organized by the University of Toronto Postgraduate Medical Education office and the Royal College of Physicians and Surgeons of Canada for Program Administrators.
  • Provide administrative support to the Education Program Directors and Rotation Supervisors (not only for the education program but for their administrative, clinical and research activities).
  • Prepare orientation packages for all medical learners.
  • Establish guidelines for schedule/rotations.
  • Create and maintain the master schedule for learners.
  • Manage schedules and organize meetings.
  • Assist and maintain the coverage schedules.
  • Improves the efficacy and efficiency of administrative activities by implementing organization strategies.
  • Identifies areas of improvement for administrative functionality based on feedback and observation of trainees.
  • Establish trusting and supportive relationships with medical learners and staff.

 

Here's What You'll Need:

  • A bachelors degree or post-diploma program.
  • Minimum of 5 years of senior administrative experience either in a hospital or university setting.
  • Demonstrated experience coordinating administrative processes in a related field
  • Excellent interpersonal and communication skills as well as a high level of judgment, tact and diplomacy in interactions with a wide variety of senior level individuals.
  • Ability to handle multiple tasks and changing priorities with many interruptions while maintaining a high degree of accuracy.
  • Advanced working knowledge of Microsoft Word, Excel, PowerPoint, Outlook, Teams and SharePoint programs.
  • Creative, self-motivated, innovative and ability to demonstrate a high level of initiative.
  • Superior problem-solving skills and demonstrated ability to prioritize workload and confidently manage deadlines in a fast-paced environment with many interruptions and multiple competing priorities.
  • Exceptional critical thinking and analytical skills with the ability to exercise discretion and confidentiality.
  • Exceptional organizational skills and ability to manage activities both for yourself and for others effectively.
  • Demonstrated commitment and actions in advancing equity, diversity, and inclusion objectives.
