Posting Description

To support the ongoing coordination, evaluation, and growth of S.C.O.P.E. (SickKids Curriculum Optimizing Point-of-Care Ultrasound Education) by ensuring accurate data collection, program administration, and quality improvement activities across participating residents and staff physicians. The Research and Administrative Assistant will work collaboratively with faculty, educators, and trainees to support the day-to-day operation of the program, monitor educational outcomes, and contribute to the program's continued expansion and sustainability. Following the successful launch of the inaugural S.C.O.P.E. cohort for residents and staff physicians, the Research and Administrative Assistant will play a key role in maintaining the program and supporting ongoing research initiatives for previous participants while coordinating the implementation and organization of future cohorts. This includes supporting participant onboarding, scheduling, exploring and securing funding opportunities, longitudinal follow-up, data management, and continuous quality improvement activities as the program expands.

Here's What You'll Do

Program Coordination

·       Coordinate the day-to-day administrative activities of the S.C.O.P.E. program for residents and staff physicians.

·       Collaborate with faculty, educators, and trainees to support the successful delivery and ongoing growth of the program.

·       Coordinate participant onboarding, educational scheduling, QA review sessions, OSAT assessments, and progress meetings.

·       Maintain accurate records of participant progress, faculty involvement, and program activities.

Data Management

·       Manage and maintain REDCap databases, including participant enrollment, survey distribution, longitudinal follow-up, and data quality assurance.

·       Monitor QPath data to ensure educational scans, QA feedback, and credentialing milestones are accurately documented.

·       Maintain program tracking systems summarizing scan volumes, OSAT completion, QA participation, and other educational metrics.

·       Ensure accurate documentation to support program evaluation, research activities, and quality improvement initiatives.

Quality Improvement & Program Evaluation

·       Assist with ongoing quality improvement initiatives through data collection, analysis, and reporting.

·       Contribute to continuous program evaluation using validated educational evaluation tools to support ongoing curriculum refinement and expansion.

Research & Academic Support

·       Support medical education research activities related to S.C.O.P.E., including data management, literature reviews, ethics submissions, and manuscript preparation.

·       May assist with the preparation of conference abstracts, presentations, and peer-reviewed publications.

·       Contribute to grant applications and funding proposals by preparing supporting documentation, literature summaries, and research materials.

·       Work collaboratively with faculty on new educational and research initiatives as the S.C.O.P.E. program continues to expand.

Deliverables and Opportunities for Growth

·       Maintain high-quality REDCap and QPath datasets to support educational program evaluation and research.

·       Support longitudinal follow-up of current and previous S.C.O.P.E. participants through survey administration and program tracking.

·       Coordinate the organization and implementation of future S.C.O.P.E. cohorts, including participant onboarding, scheduling, and administrative support.

·       Contribute to manuscript preparation, conference abstracts, presentations, and knowledge dissemination activities, with opportunities for authorship where appropriate.

·       Assist with grant applications and funding proposals to support future program growth and sustainability.

·       Gain experience in REDCap database management, medical education research, educational program evaluation, quality improvement methodology, grant development, and research coordination.

Here's What You'll Need

·       Undergraduate degree in health sciences, biomedical sciences,  or a related field.

·       Strong organizational skills with the ability to coordinate multiple tasks, timelines, and stakeholders.

·       Excellent attention to detail and ability to maintain accurate documentation and research records.

·       Strong written and verbal communication skills with the ability to collaborate effectively with faculty, physicians, trainees, and research teams.

·       Ability to work independently while contributing effectively within a multidisciplinary team environment.

·       Demonstrated interest in medical education, health professions education, quality improvement, or clinical research.

Preferred Qualifications:

·       Previous experience with REDCap, including survey development, participant tracking, data entry, and database management.

·       Experience with clinical research, medical education research, or quality improvement initiatives.

·       Experience supporting research projects, including literature reviews, ethics submissions, data management, manuscript preparation, or knowledge dissemination.

·       Experience contributing to grant applications or research funding submissions, including preparation of supporting documents and project materials.

·       Familiarity with clinical education programs, competency-based assessment, or point-of-care ultrasound education is an asset.  

·       Experience working with healthcare professionals, trainees, or multidisciplinary clinical teams is strongly preferred.

Supervision:
The assistant will work under the supervision of Dr. Danielle A.S. Holmes and Dr. Maya Capua.

Employment Type: 0.12 FTE (approximately ' day per week for 4 months; work may be flexibly organized by the assistant to optimize efficiency) and 4 month contract (August 2026 - December 2026)
