Looking for a new and exciting job opportunity? We’re hiring a Carhouse Operations Assistant to join our team. In this role, you’ll provide essential administrative and clerical support to keep our Carhouse operations running smoothly and efficiently.

What You Will Do

You will be reporting to the Operations Manager, and you will be responsible for providing general administrative and clerical support services for the Carhouses. 

 

This involves the following:

 

  • Responsible for processing payroll for Carhouse employees; co-ordinating contract services at the Carhouses and performing a variety of general office services duties for the various Carhouses.
  • Prepare unionized employees’ weekly payroll and forwarding the same to Finance Department.
  • Perform administrative and clerical support services to assist with efficient operation of the carhouses repair work and activities.
  • Work with the Operational Planner in coordinating the inspection work to coincide with other repair/maintenance work (i.e. SWIS, warranty, retro-fits) to maximize streetcar availability and workforce efficiency.
  • Responsible for ordering and receiving carhouse materials, services and office supplies.
  • Maintain up-to-date, accurate and complete file documents and records for regulatory compliance i.e. Waste Manifests (Environmental Protection Act), CVOR, etc. setting up, maintaining and updating various central files and computerized databases including Streetcar Maintenance files, environmental spill reports, dispatch sheets, sign in/change off reports, labour, etc., compiling information upon request and ensuring correspondence is filed appropriately; assisting with various activities related to the Departmental contracts
  • Responsible to keep the Operations Manager informed of all developments and urgent matters.

What Qualifications Do You Bring

  • Completion of secondary school education or a combination of education, training and experience deemed to be equivalent combined with a few years of related work experience. 
  • Additionally, a post-secondary education in a relevant discipline, is an asset.
  • Sound knowledge of modern office methods, procedures, practices and equipment.
  • Knowledge of computers and proficiency in computerized applications related to the work (i.e. word processing, spreadsheets, etc.) and possess good keyboarding skills.
  • Good interpersonal and oral and written communication skills.
  • Possess a valid, non-probationary, Province of Ontario class “G” driver’s license, and access to a personal vehicle to drive to different Carhouses.
  • Sound knowledge of Carhouse procedures and terminology would be beneficial.
  • In addition, you must have or must acquire a sound knowledge of TTC, Group and Departmental policies, procedures and practices relating to the work.  This includes a sound knowledge of the department’s purchasing practices and procedures; sections of the Collective Agreement relevant to the work (i.e. issuance of clothing, safety shoe allowance, vacation entitlement, lieu days, overtime, leave of absence, etc.) and other practices (i.e. absenteeism control); and the Vehicle Maintenance System and the On-Line Attendance Reporting System.
