Adecco is currently hiring a Bank Mailroom Administrator for a full-time 12-month contract opportunity in Toronto, ON. This role is ideal for a detail-oriented administrative professional who enjoys working in a structured environment and has experience handling mailroom operations, document management, and administrative support within a fast-paced office setting.

In this position, you will be responsible for processing and distributing incoming and outgoing mail, maintaining document records, supporting reporting activities, managing mailroom inventory, and ensuring the secure handling of confidential information while delivering excellent internal customer service.

  • Pay Rate: $19.44/hour

  • Location: Toronto, ON

  • Schedule: Monday to Friday | 9:00 AM – 5:00 PM

  • Employment Type: Full-Time | 12-Month Temporary Contract (Potential for Permanent Employment)

Responsibilities

  • Receive, open, sort, and distribute incoming mail, courier packages, and interoffice correspondence.

  • Prioritize urgent, confidential, and time-sensitive deliveries while meeting service standards.

  • Prepare outgoing shipments, registered mail, and courier packages with accurate documentation and labeling.

  • Communicate package arrivals, delivery updates, and routing exceptions to internal stakeholders.

  • Ensure accurate and timely mail distribution across departments.

  • Process, organize, and maintain operational and customer-related documentation.

  • Review documents for completeness and accuracy before routing or storage.

  • Maintain tracking logs, delivery records, and proof-of-delivery documentation.

  • Support scanning, indexing, filing, and document retention activities.

  • Generate reports related to mail volumes, courier activity, and operational service metrics.

  • Monitor tracking systems and investigate delivery discrepancies when required.

  • Review mailing-related billing information and internal chargeback records.

  • Maintain inventory of mailroom and shipping supplies.

  • Recommend process improvements to enhance efficiency and accuracy.

  • Handle confidential information in accordance with banking privacy and security standards.

  • Operate mailroom equipment including scanners, postage machines, mail openers, and shipping tools.

  • Maintain a clean, organized, and compliant mailroom environment.

  • Lift and move mail containers, records, and packages up to approximately 20 lbs as required.

Qualifications

  • Must be legally eligible to work and reside in Canada.

  • Previous experience in a mailroom, administrative, office support, or document management role is considered an asset.

  • Strong attention to detail and accuracy.

  • Excellent organizational and time management skills.

  • Ability to manage repetitive, process-driven tasks while maintaining quality.

  • Strong written and verbal communication skills.

  • Ability to prioritize multiple tasks in a fast-paced environment.

  • Professional approach to handling confidential and sensitive information.

  • Comfortable using office equipment and computer systems.
