Audio Visual Services Manager

The Opportunity

Banff Centre is in search of an Audio Visual Services Manager to lead a team responsible for delivering high-quality audio-visual (AV) solutions for our clients and guests across internal programs and meetings, ensuring seamless execution and alignment with each environment. The position requires strong technical expertise in AV equipment and system design, along with excellent communication skills and the ability to perform effectively under pressure. The role also supports revenue growth by enhancing client experiences, optimizing AV resources, and contributing to the organization’s reputation as a premier events and conference destination.

Roles and Responsibilities

Reporting to the Director, IT/S  below are some key accountabilities:

Audio Visual Support

  • Manage the day-to-day scheduling of the AV technical services team and activities, including the schedule for activities and equipment requests. This includes management of personnel, general organization, scheduling and leading teams.
  • Champion process innovation, by bringing fresh ideas to how we work and deliver audio visual, and introducing effective methodologies, streamlining workflows, and understanding emerging technologies.
  • Lead coordination with external audio visual providers to ensure consistent, high quality service delivery, as required. 
  • Ensure that the audio visual equipment and technicians are considering Banff Centre systems and data security to help protect Banff Centre and clients.
  • Support the sales process by advising on premium audio visual packages that improve event quality and drive client satisfaction.
  • Oversee inventory management, including equipment lifecycle, upgrades, budget planning, repairs.
  • As part of the IT/S leadership team, assess emerging technology and help to determine Banff Centre’s audio visual strategy for the future.
  • Oversee the installation, repair, and maintenance of AV hardware and software, including video conferencing (e.g., Zoom, MS Teams, MS Teams Rooms, Logitech Rally Bars).
  • Ensure that how-to, technical documents, equipment manuals and the supporting knowledge base documents are maintained.
  • Ensure the AV technical services team information is kept current and readily available (SharePoint, Word, Excel, etc).
  • Work with the Conference Director and Sales Managers to identify new leads, markets and opportunities and deliver impactful sales presentations.
  • Attend client meetings and site visits to assess needs and build relationships with clients.
  • Work with clients to understand their needs and requirements for audio visual.
  • Collaborate with the AV technical team to deliver credible, tailored proposals that reflect Banff Centre’s drive for excellence.

Financial Responsibilities

  • Prepare quotes for events requiring audio visual components, collaborating with the Conferences team and Programming teams, at times providing multiple options. This is in collaboration with the AV technical services team and their knowledge of existing systems, configurations and requirements.
  • Assist in the development of capital requirements and capital purchase plans of equipment and systems for the audio visual venues.
  • In coordination with the IT/S leadership team, manage the audio visual team budget, including forecast and reporting.
  • Ensure an annual technical inventory of all AV-related equipment under the purview of the audio visual technical services team with recommendations for replacement or refurbishment. 
  • Manage administration tasks undertaken by staff including, but not limited to, contracts, billings, collections, tracking, purchase orders and rentals. Prepare and process/approve billing, purchase orders, cheque requisitions, reimbursement, expense claims as needed.
  • Overall management of the pricing list and packages for audio visual equipment and services, current year and future years.
  • May be required to develop grant proposals and provide analysis of potential revenue-generating activities.
  • Conduct annual investigation to ensure that Banff Centre’s audio visual services and equipment pricing is current and competitive.

Team Leadership and Organisational Cooperation

  • Develop audio visual solutions for external conference clients, internal program areas and internal Banff Centre meetings in a manner that is both consultative and collaborative.
  • Working closely with other cross-functional Banff Centre teams such as the Performing Arts team, Music & Sound, Digital Film and Media, Program Services and Hospitality to ensure the audio visual components of events are produced to a high standard.
  • The Audio Visual Services Manager will regularly provide direction and leadership to the AV/technical services team.
  • With the IT/S leadership team, ensure that consideration is given to providing appropriate training and professional development opportunities for the audio visual technicians.
  • Ensure the audio visual technicians are trained and comfortable with AV equipment, as appropriate.
  • Enables team member(s) to function as a high performing team at all times, maintaining open communication, clear objectives and priorities, where appropriate, and a culture of positive behavioral intent that is consistent and in alignment with Banff Centre values and is welcoming and inclusive, supporting a diverse workforce. 
  • Recruits, hires, and mentors staff, assigning work, and measuring their performance in relation to the strategic standards of excellence and goals.  Works closely with the Human Resources Team to ensure policies, procedures, contractual, legislative and work culture expectations are met.
  • Fosters an internal culture that maintains the highest standards for service excellence, and fiscal, operational, and organizational integrity. 
  • Support the development and implementation of strategies to promote inclusion, diversity, equity, and access across Banff Centre

Qualifications and Educational Requirements

  • Bachelor’s degree in audio visual technology, Information Technology, or a related field, or accreditation such as Certified Technology Specialist (CTA).
  • Audio visual sales experience a definite asset.
  • At least 5 years’ audio visual experience in a mid-to-large company.
  • Experience working within a unionized environment is an asset.
  • Knowledge specific to the academic sector is an asset.
  • Experience with Windows and MacOS is an asset.
  • Basic understanding of patch and vulnerability management.
  • Excellent communication skills, both verbal and written, with the ability to convey technical information to non-technical stakeholders.
  • Strong analytical and critical thinking skills and the ability to meet multiple demands and deadlines in high-pressure environments.
  • Demonstrated commitment to the personal development of new technical skills and knowledge.

Special Requirements

  • Due to the nature of the job, this position sometimes requires the candidate to be available to work a flexible, irregular schedule and weekends.

Employment Terms and Benefits

  • In accordance with the terms of employment governing Management/PSP employees, this is a salaried, full-time position, subject to a 6-month probationary period.
  • The salary range for this position is  $68,714 – $102,040 per year based on experience.
  • The successful candidate will enjoy twenty paid vacation days and four personal days annually
