Position purpose:
Under the direction of the Director, Recruitment and Admissions, the Associate Supervisor, Student Recruitment has the role of a Prospective Student Services Coordinator and is responsible for providing operational leadership to the team of student ambassadors and a prospective student advisor (Intermediate Officer, Student Recruitment). In collaboration with other faculties and services throughout the university, the Associate Supervisor is responsible leading events and projects related to prospective students, educators and parents in order to attract new members to the university. The Associate Supervisor ensures an effective communication and administrative support system is in place for the liaison office (quality control) and analyses the key performance indicators related to its activities to continually improve on the services delivered.
In this role, your responsibilities will include:
Manages the daily in person campus tours offered to prospects, candidates, admitted students and their parents, and occasionally special tours offered to internal groups such as External Relations, uOInternational, uOrientation, etc. Also, manages the university’s virtual campus tour platform, including new content generation, ongoing updates and partnering with the Student Affairs communications team to increase traffic to the platform.
Responsible for the human resources processes (hiring, training, onboarding, management and evaluation) for Student Ambassadors and Intermediate Officer, Student Recruitment Manages the telecounselling campaigns and the Book a Meeting initiative with prospects and candidates, via the university’s CRM by tailoring the campaigns to the Student Affairs recruitment strategy.
Collaborates with the Student Affairs Communications team to plan and implement the Social Media strategy, including content generation and inquiries. These include Facebook, Instagram, YouTube, TikTok, Reddit and other evolving and relevant social media platforms used by 16–22-year-olds.
Responsible for ensuring the quality of front-line service for all liaison enquiries received by phone, email, virtual and in person meetings and through social media.
Responsible for continuous self-improvement and quality improvement, including goal setting, defining performance indicators, and innovating new ways to improve the effectiveness, efficiency and reach of our initiatives.
Keeps abreast of the latest developments to respond to general questions regarding admissions, events, liaison school visit scheduling, programs, housing, etc. and develops personalized campus tours in order to meet these needs.
Communicates and conducts research on an ongoing basis with internal stakeholders to keep their team and the Liaison Office informed of relevant changes on campus.
Responsible for forecasting and managing the administrative office budget. With the Supervisor, Student Recruitment, identifies the needs of the office in terms of shipping and coordinates the shipping for the Liaison Office with the help of the Intermediate Officer, Student Recruitment and the Shipping Clerk.
Occasionally, supports the recruitment activities organized by the Liaison and Outreach teams by ensuring participation of staff in on-campus and off-campus recruitment events, as a representative of the University of Ottawa, to counsel students and their parents regarding all aspects of the admission process (as needed).
What you will bring:
Undergraduate degree in a related field, or a combination of relevant work experience and education.
1 year of experience in a managerial or supervisory role, including experience in human resources management and training.
2 years of experience in leading projects, including analyzing and interpreting institutional needs and applying day-to-day work to the institution’s objectives.
Bilingualism (spoken and written) in French and English
Knowledge of marketing, public relations and/or communications principles and concepts
Experience in maintaining effective relationships with educational staff, parents, students, and other university sectors;
Knowledge of the Canadian secondary and post-secondary education systems as it pertains to 16–22-year olds and the work force;
Extensive knowledge of the University of Ottawa, its programs, services and administrative procedures;
Experience in client services as a resource person. Ability to understand and regularly keep up-to-date with a vast amount of detailed knowledge, and to deal with a diversified clientele;
Excellent judgement and initiative with superior problem-solving skills;
Good interpersonal and communication skills, tact and diplomacy;
Strong analytical and critical thinking and decision-making skills;
Ability to work under pressure in a team environment using positive interpersonal relationship skills;
Strong organizational and time-management skills;
Intermediate level of competency with the Microsoft Office 365 Suite including PowerPoint, Word, Excel, Teams, OneDrive and the ability to keep up with and adapt to changing technology;
Experience working with a Customer Relationship Management tool (CRM), such as Talisma, and with a student information system (such as Peoplesoft) is an asset.
Ability and willingness to occasionally work outside of regular business hours and/or on weekends.
