Posting Description

As an integral part of the Department of Anesthesia and Pain Medicine, you will provide onsite administrative support with an impact on the clinical and academic operations of the Department.  The successful candidate must be sufficiently skilled to support complex administrative tasks and proactively solve issues and make recommendations to ensure the day-to-day administrative operations of the Department run smoothly.

Here's What You Will Get to Do:

Administrative Accountabilities

  • Maintain Physician Faculty calendars; schedule and confirm appointments, anticipate time conflicts, and use judgment to reschedule meetings or appointments according to changes in priority
  • Create meeting requests in Outlook with multiple internal and external attendees and monitor attendance
  • Arrange in-person meetings, internal and external small and large-scale events; coordinate bookings, catering, audio visual and equipment, as required
  • Monitor multiple inboxes and respond/action requests appropriately
  • Coordinate virtual national rounds
  • Using Excel and other software, create clinical scheduling templates
  • Ensure the smooth coordination of anesthesia staffing to community sites
  • Make daily changes to a workforce scheduling database
  • Populate and update the on-call schedule in Hypercare using various data sources
  • Make daily changes to a workforce management database
  • Assist with travel bookings, as needed
  • Provide ongoing support and coverage for other coordinators within the Department
  • Act as the day-to-day onsite point person for operational requirements for the Department

Professional Accountabilities

  • Develop strong and positive working relationships and communicate with multi-level contacts across several portfolios and throughout the Hospital to exchange, report, and analyze moderately complex information
  • Independently respond and collaborate with other areas to problem-solve, resolve conflicts and roadblocks, and propose solutions independently or collaboratively
  • Respond to questions and concerns in a timely fashion

Here's What You Will Need:

  • Senior-level administrative experience required; experience in a similar healthcare setting an asset
  • Strong attention to detail and high level of accuracy in completion of administrative tasks
  • Advanced administrative analytical, evaluative, and problem-solving skills
  • Demonstrated ability to prioritize work in an efficient and organized manner
  • Advanced proficiency in Microsoft Office applications (Teams, Outlook, Word, Excel, PowerPoint) and ability to learn new software to perform duties of the role
  • Advanced interpersonal, oral, and written communication skills
  • Ability to work well independently and in a team environment
  • Exceptional problem-solving skills with the ability to exercise discretion and confidentiality
  • Self-motivation and ability to be proactive
  • A commitment to understanding and aiding in the pursuit of equity, diversity and inclusion objectives

Employment Type: Full-time Temporary 1 year contract, 1.0 FTE
