Adecco is seeking a temporary full-time Administrative Assistant at our client’s office in Edmonton, AB. In this role you will be managing multiple lines of communication from phone, emails and mail, managing filing, as well as maintaining office equipment and stationery. This role requires a clear background check and excellent communications skills.

  • Pay rate: $25 /hour

  • Location: Edmonton, AB

  • Shifts: Monday-Friday| 8:00am – 4:00pm

  • Job type: Temporary | Full-time | 3-week contract 

Duties and Responsibilities: 

  • Sort, process, verify, transmit and file applications, receipts, expenditures, tax returns, mutual funds, cheques, forms and other documents.

  • Greet visitors, establish nature of business and direct visitors to appropriate person.

  • Collaborate with the national team to provide proactive solutions to issues, identifying opportunities for improvements and creating efficiencies.

  • Communicate with managers, colleagues on issues/changes.

  • Respond to enquiries as assigned from central operations team.

  • Confirm and update Customer Relationship Management (CRM) contact information and generate reports, as required.

  • Provide administrative, client service and business development support to advisors.

  • Contact clients to arrange appointments, reviews or advise of deficiencies in completed forms, including fielding of basic queries regarding financial services.

  • Provide information on the status of a client’s account and services offered.

  • Process, distribute, and send mail and other materials and organize the flow of information with other departments/divisions and organizations.

  • Assist clients with completion of paperwork including beneficiaries’ changes and respond to general questions.

  • Organize conference calls and webinars.

  • Support nationally led member outreach (briefings and virtual events).

  • Prepare and deliver packages for appointments, scan and attach to CRM.

  • Ensure office is stocked with necessary supplies for functionality, service office equipment and arrange for servicing, as required.

  • Prepare, key in, edit and proofread correspondence, invoices, presentations, briefings, reports and related material.

  • Schedule and confirm appointments and meetings and manage calendars, as required.

  • Process monetary transactions including preparing and submitting bank deposits.

  • Act as the Corporate Credit card holder and maintain office petty cash, as required.

  • Prepare invoices and cheque requests.

  • Maintain and ensure regulatory required fund company prospectuses and annual reports are in stock.

  • Ensure the security and confidentiality of information.

  • Comply with NPF policies, procedures, regulations, and applicable legislation.

  • Ensure compliance with the Health & Safety Program, in conjunction with management, and may act as a Representative or member of a local NPF Committee.

  • Perform other related duties as assigned by supervisor. 

Requirements and Qualifications: 

  • College diploma or certificate in Office Administration, Business Administration or a related field AND some years of experience in office administration, banking or a related field
    OR
    High school diploma AND several years of experience in Financial Services Administration
    AND
    Canadian Securities Course (CSC) or Investment Funds in Canada Course (IFC), an asset

  • Providing administrative services in a financial planning, counselling and/or insurance environment

  • Office administration experience with maintaining filing systems, proofreading, data entry, data manipulation, record-keeping and retrieval techniques, drafting correspondence and reports

  • Must be legally eligible to work and reside in Canada
