Optimum Mortgage, a National Bank of Canada company, is an Alt-A lender providing personalized borrowing solutions to meet our clients’ needs. We offer flexible alternative mortgage solutions, for clients who may not fit within traditional guidelines, including those who are self‑employed, commissioned, or with bruised credit.

We are looking for an individual to join our growing team who is eager, confident, has an eye for detail and is self-led. As a Senior Mortgage Documentation Officer, you demonstrate excellency in decisioning mortgage conditions and reviewing pre-funding documentation in a paperless environment to ensure policy, regulatory and audit requirements are satisfied. You are extremely organized and possess an intrinsic drive to provide high value customer service to referral sources.

Your role
Mortgage Documentation Expertise. Fulfillment Process Excellence. Risk Management. Compliance. Customer Service.
  • Review, validate and approve conditions for files including but not limited to various Income Types, Down Payment, Title Searches, Credit Bureaus, Purchase documents, Bank Statements etc., while ensuring adherence to policies, lending standards, procedures, regulatory and AML requirements
  • Identify potential indicators of fraud, misrepresentation, or suspicious activity and escalate concerns in accordance with internal fraud prevention and reporting protocols
  • Work in a fast-paced and dynamic environment with tight timelines, with the ability to flexibly prioritize and adjust output to align with service levels influenced by incoming volumes and team capacity
  • Drive the application pipeline forward through consistent follow-up on all “approved” files through analysis of the scheduled funding report on a weekly basis
  • Identify documentation deficiencies and work collaboratively with mortgage brokers, borrowers, underwriters, and internal teams to resolve issues in a timely manner; maintain an acceptable turnaround time for communication touchpoints
  • Delineation between Senior Mortgage Documentation Officer & Mortgage Documentation Officer is at the senior level we expect a greater degree of efficiency, independence, and sustained output in managing a higher volume of work.

Prerequisites
  • Business administration diploma or comparable experience working within an Alt‑A lending environment.
  • Minimum 3 years mortgage documentation review experience.
  • Demonstrate an understanding of mortgage lending guidelines, compliance, regulatory and AML requirements around fraud detection.
  • Shown experience in reviewing conditions for mortgage files (Income, Down Payment, Title Searches, Credit Bureaus, Purchase documents, company and condominium documentation).
  • Knowledge of Mortgage life cycle for conventional residential mortgages.
  • Strong analytical competence and attention to detail.
  • Excellent interpersonal and organization skills with the ability to prioritize in a high risk, fast paced, team culture.
  • Ability to communicate efficiently & effectively; both written and verbal.
