Job Summary
Reporting to the Manager, Total Rewards, the Compensation Coordinator will play a key role in collaboration with the Compensation Specialists in providing specialized services within the Total Rewards team, including but not limited to the day to day administration of compensation activities and initiatives, job description process, job evaluation process, Pay Equity, position creation, as well as supporting employee record keeping and communications. The incumbent ensures appropriate and consistent application of job evaluation and compensation plans, collective agreements, terms and conditions of employment, College policies and procedures. The incumbent also participates in special assignments, projects and initiatives.
Additionally, the Compensation Coordinator supports the implementation and maintenance of a job evaluation management software to streamline the centralized oversight of job descriptions alongside managers at Mohawk College.
What you’ll be doing:
Job Evaluation
- Supports Compensations Specialists with intake meetings with Managers to ensure a full understanding of the role to be evaluated
- Annually reviews existing job descriptions and provides recommendations for regular updates in collaboration with respective manager.
- Coordinates and completes any necessary administration as a result of position reclassifications (I.e. Employee letters from Manager & corresponding SAF’s).
- Assists in communicating job evaluation results to client managers, unions, and employees, as applicable using standardized communication materials. Escalates to Compensation Specialist when required.
- Under the guidance of a Compensation Specialist, ensures job documentation is complete and appropriate for job evaluation, based on applicable job evaluation plans.
- Maintains and updates a ‘Job Evaluation Log’ to record all requests for Job evaluation from managers.
Position Control & System Support
- Support implementation and maintenance of a job evaluation management software to streamline the centralized oversight of job descriptions.
- Create all part-time positions requests, ensuring positions are set-up accurately in Banner (ERP System).
- Maintains position records in Banner for reclassifications ensuring position record is updated or makes a request that a new position is created.
- Ensuring appropriate steps are followed for position conversions, position reclassifications (Ie. Complete SAF to update position in Banner, RTH’s are requested).
- Complete all “reports to” changes in Banner.
- Assist in review of compensation data to be used in the completion of compensation surveys.
- Maintains all job description and evaluation data, records and files. This includes position description database and job evaluation records.
Compensation Programs
- Support year-end compensation processes with Compensation Specialists and Manager, Total Rewards, including salary increases, merit payments, pay for performance plans and cost of living adjustments.
- With support of the Compensation Specialist, ensure Pay Equity compliance for college with both union and non-union employee groups.
- Maintenance of Pay Equity plans for the college in accordance with The Ontario Pay Equity Act.
- Participation in the implementation and maintenance of new collective agreement compensation activities (e.g. Part-time Support).
Client/Employee Service
- Responds to routine Compensation/job evaluation inquiries. Resolves problems without escalation to a Compensation Specialist where possible.
- Provides administrative support to Compensation team.
- Partners with the Compensation Specialist in composing responses to general correspondence.
Other Duties as Assigned
- Assists the Manager, Total Rewards and Compensation Specialist with broader compensation and benefits initiatives and projects.
- Generates ad hoc compensation reports for review/analysis to help inform compensation decisions.
- Participates in process improvement initiatives e.g. internal monitoring of work.
- Support on other areas of Total Rewards.
What you’ll bring to the role:
- A 3-year Diploma/Degree or equivalent in such disciplines as Business, Communications, Human Resources, Labour Relations or a related field is required at the point of hire into this position.
- A minimum of three years of experience working in an office environment and processing data is a must.
- Experience with an HRIS (Banner) would be an asset.
- Experience maintaining confidential files.
- Experience inputting large amounts of data on a regular basis with few inaccuracies and at a fast paced.
- Experience in workload management to plan and execute competing tasks, often with external deadline requirements.
- MS Office Suite (including Access).
- Job Description Writing training.
- Job Evaluation Training.
- Good communication and listening skills.
- Strong analytical and thinking ability.
- Demonstrated commitment and understanding of human rights, equity, diversity, inclusion, and accessibility.
- The ability to communicate and work effectively with diverse students, employees, and communities.
