Responsibilities:
Collect, organize, and manage project documentation, including work authorizations, estimates, and completion certificates
Maintain accurate and up-to-date digital and physical project files
Assist Project Managers with day-to-day coordination and scheduling of restoration projects
Communicate with clients to provide updates, answer questions, and ensure satisfaction throughout the project lifecycle
Prepare and deliver weekly progress reports to management and clients
Monitor scheduling changes and proactively address any conflicts or adjustments needed
Ensure consistency and data accuracy across job management and operating software platforms
Collaborate with field staff to ensure timely completion of work and proper documentation submission
Support internal reporting and project close-out processes as required
Requirements:
Legal eligibility to work and reside in Canada.
Minimum 2 years of experience in the property restoration industry
Exceptional organizational skills with strong attention to detail
Proven ability to manage multiple priorities and meet deadlines in a fast-paced environment
Strong interpersonal, written, and verbal communication skills
Professional and discreet when handling sensitive or confidential information
Proficient in Xactimate, XactAnalysis, Encircle, and Proven Job Management software
Skilled in Microsoft Office Suite (Outlook, Excel, Word, etc.)
Quick to learn new software and systems with a tech-forward mindset
Positive attitude, strong work ethic, and a commitment to supporting team success
