The Opportunity
The Production Coordinator for Performing Arts provides the production support required for the delivery of Banff Centre programs, projects and events. Reporting to the Technical Director, this role is responsible for day-to-day administrative tasks as well as helping with the organization of Banff Centre programs, presentations, and related activities across Banff Centre. This role is responsible for ensuring that production elements are organized ahead of time and that the operational and logistical production requirements meet the expectations of faculty, participants, and visiting artists.
Roles and Responsibilities
- Identify, organize and implement logistical requirements related to production needs, including resource requests, technical assessments, studio assignments, production spaces, technical equipment.
- Order scripts, scores and general supplies required for productions and production spaces.
- Assist in creating, updating and distributing crew and rehearsal schedules, post-mortems, mainstage activities, production rentals, and other events.
- Schedule and coordinate planning meetings for Production teams with internal departments and external partners, arranging and distributing documents in advance of meetings and programs, take and distribute meeting minutes.
- Negotiate and schedule resource support (equipment, facilities, personnel) for all projects with participants and with other Banff Centre departments.
- Assist in preparing production contracts and agreements.
- Assist in all areas of Banff Centre Performing Arts administration and coordination which includes maintenance of accurate filing, records management systems, post evaluation processes, tracking expenditures and other various office administration.
- Liaise with clients, participants and production/technical crew during programs as well as during load ins, tech rehearsals, performances and load outs.
- Act as liaison with all participants and faculty.
- Facilitate communication with other all Banff Centre departments to ensure smooth delivery of programs and performances. Work closely with the following departments: Production, Events, Resource Management, and Program Management and Coordination. Coordinate as needed with IT, Program Services, Physical Facilities, Custodial, Finance and others.
Qualification and Educational Requirements
- Diploma/Degree in Performing Arts/Arts Production or a related field, or equivalent professional experience.
- 5+ years' experience of production knowledge of music and theatre event activities.
- 5+ years' experience working in a performing arts venue.
- Proficient with Microsoft Office suite of products with advanced Excel and Outlook skills.
- Experience in scheduling arts technical/production-based or similar projects.
- Production coordination, arts administration or stage management experience within a professional performing arts or entertainment venue.
- Reliable and self-motivated with the ability to work under broad direction without close supervision.
- Strong attention to detail with strong administrative and effective communication skills.
- Proven organizational expertise and ability to successfully manage multiple tasks and projects simultaneously.
- Customer-centric approach, which results in exceptional customer service delivery.
- Adept at new technologies, and familiar with scheduling software programs. Farmer's Wife experience is an asset.
Special Requirements

Due to the nature of the work, the Production Coordinator will be expected to be available to work occasional evenings and weekends.
Employment Terms & Benefits
- In accordance with CUPE 4318, this is a unionized, hourly support staff position, subject to a 500 hour probationary period.
- This position pays between $23.85 and 27.66 per hour, depending on experience, and works up to 40 hours per week on a rotating schedule.
