What you'll do

The Investor Relations Associate and Finance Executive Assistant will provide C-suite support to the Head of Investor Relations, and up to two Senior Vice Presidents/Vice-Presidents with administrative, managerial, and organizational tasks. The successful candidate will be a high-energy, experienced executive assistant with an extremely professional demeanor, business maturity and an ability to exercise discretion when dealing with sensitive information and high-level executives (internal and external), recognizing that s/he is an extension of the office of the executive(s) and will represent their presence accordingly. This role will appeal to a lifelong learner who is enthusiastic about better understanding the role that Investor Relations plays in shaping external market perceptions of the company and takes pride in their contribution to that role.

  • Handle high level administrative tasks with ease and a high degree of professionalism and business maturity

  • Demonstrate strong organization skills and attention to detail and accuracy

  • Thrive in a fast-paced large company environment and be adaptable to change

  • Manage multiple tasks and projects simultaneously, take initiative, exercise sound judgement, and anticipate needs

  • Maintain confidentiality on highly sensitive matters

  • Be the central point of connection across the broader organization to  the IR and Finance team

  • General administrative support (i.e. email triage and response, high level calendar management, meeting coordination, budget) for the Head of Investor Relations and two additional SVP/VPs, Finance

  • Coordination of complex schedules and travel itineraries

  • Work closely with SVPs to schedule quarterly team town hall meetings and engage in agenda development

  • Handling of documents for Board and Disclosure Committee

  • Vendor management, including assistance with vendor selection/contracting and onboarding

  • Schedule and organize the monthly and quarterly performance review meetings, working closely with the office of the CFO, as well as annual planning meetings

  • Planning and co-ordination of events, including quarterly earnings calls and investor roadshows, conferences, store tours and other investor events

  • Quarterly results event/project management, including management of quarterly conference calls and external communications including IR website

  • Assistance supporting event/project management for other IR-focused events (e.g. AGM, investor events)

  • Meeting schedule coordination and preparation of briefing materials for external finance and investor meetings and conferences working closely with assistants for other executives

  • Management of IR mailbox and calendar, including investor meeting tracking

What you bring

  • 5+ years of experience supporting C-Suite level executives and project work within a fast paced corporate and/or professional firm

  • A positive attitude, with the ability to cope well under pressure

  • Superior written and verbal communication skills

  • High level of independence and can be relied upon to follow work through to completion

  • Proven ability to manage multiple tasks and projects simultaneously, suggest process improvement and take initiative, exercise sound judgement, and anticipate needs

  • Proven ability to establish valuable relationships within an organization and with key external vendors

  • Experience in updating websites is an asset

  • Previous exposure to investor relations, sell side research, asset management, external reporting or accountancy would be considered an asset

  • Ability to work in Microsoft Excel and PowerPoint, knowledge of Nasdaq IR Insight, Copilot, Diligent, Hyperion, PeopleSoft, and Concur is an asset

  • Note that this role will require a 5:30am start on key announcement dates (approximately 4-8 times per year) and requires a willingness to occasionally monitor email off-hours.
