The Faculty Relations (FR) office is a key member of the administrative structure in the Faculty of Health Sciences HR department. FR is responsible for all academic appointment administration related to faculty recruitment, data management, tenure and promotion, and leaves, on behalf of the Dean and Vice-President. The Faculty Relations and Academic Appointments Officer (FRAAO) reports to the Manager, Faculty Relations, and is part of the administrative team in the Faculty of Health Sciences HR department and works closely with internal partners to ensure accurate and timely service is provided by the FR office.

 

This position is responsible for ensuring compliance with, and/or advocating for improvements in academic appointment policies and procedures, requiring extensive knowledge of university policies and dean procedures and best practices. The incumbent contributes to operational excellence in all core functional areas for faculty relations.

 

The FRAAO is responsible for providing guidance and coordination in relation to The McMaster University Revised Policy and Regulations with Respect To Academic Appointment, Tenure and Promotion and its supplementary policies, as well as related and applicable legislative and contractual agreements.  

 

Key Responsibilities

  • Facilitate and coordinate faculty recruitment, appointment, tenure/CAWAR/permanence, and promotion processes in alignment with university policies and the MUFA agreement.
  • Provide expert interpretation and advice on faculty policies, collective agreements, and procedures to departments and hiring committees.
  • Prepare, review, and maintain accurate faculty appointment documentation and records in Mosaic and the Faculty Database.
  • Support hiring of foreign nationals by coordinating LMIA documentation and advertising processes.
  • Oversee faculty appointment letters, renewals, extensions, terminations, and ensure compliance with relevant policies and procedures.
  • Provide support and training to Academic Coordinators and departmental staff, contributing to process documentation and procedural consistency.
  • Act as the primary liaison for clinical faculty appointments, ensuring compliance with CPSO, RCPSC, and hospital credentialing requirements.
  • Collaborate with FHS Finance, Central HR, and Faculty Relations to review and resolve issues related to faculty compensation, data integrity, and system discrepancies.
  • Manage operational processes such as work permit tracking, visiting appointments, POI setup, and data entry for appointment changes.
  • Contribute to special projects, working groups, and committees focused on improving faculty administrative practices across FHS.
 

What we are looking for

  • Education in Business Administration or related field
  • 3-5 years of administrative experience, with preference for those who have experience in faculty relations or academia
  • Strong interpersonal and communication skills (oral and written)
  • Demonstrated diplomacy and good judgment
  • Trained in-house in Employment Equity matters, act as an Employment Equity Facilitator
  • Consistent initiative and innovation demonstrated in approach to issues, both proactive and responsive.
  • Effective time management and organizational skills.
  • Ability to collaborate effectively with senior management, faculty, staff, other departments and external organizations.
  • Ability to handle high volume demands within short timeframes
  • Knowledge of the university’s policies and procedures, MUFA “Yellow Document”, and SPS policies.
  • Knowledge of the Employment Standard Act, Human Rights Code, and other similar legislation
  • High attention to detail and accuracy

Please note: The salary band for this position is currently under review. However, the expected starting range is between $60,000 to $70,000, depending on experience and qualifications.
