JOB OVERVIEW
Ontario Power Generation (OPG) is looking for a dynamic, personable and results driven administrative professional to join our team in the role of Senior Executive Administrative Assistant.
Reporting to the VP of Business Planning & Reporting, the Senior Executive Administrative Assistant will provide top-level administrative support. The ideal candidate will be a proactive and detail-oriented professional with exceptional organizational and communication skills. This role requires a high degree of discretion, judgment, and the ability to handle confidential information.

KEY ACCOUNTABILITIES
- Provide comprehensive administrative support to senior executives, including managing schedules, appointments, and travel arrangements.
- Review requests for meetings, speaking engagements, media interviews, conferences, etc., recognizing sensitivity and confidentiality of the office. Maintain leader's calendar regarding meetings, appointments and screen calls and visitors, being mindful of established priorities.
- Review meeting agendas originating in other organizations or external to OPG which requires input. Coordinate and collect briefing material for speeches, meetings and conferences ensuring that the leader is adequately briefed for the meeting and take all required reference and support materials required.
- Schedule and make all necessary arrangements for meetings and conferences such as the preparation and distribution of agenda and handouts, acquiring of meeting room, accommodation, notification of participants, arranging for audiovisual or other equipment, preparing and issuing meeting notices, typing of minutes of the meeting covering numerous items.
- Set up priority for requests and where possible refer same to other knowledgeable staff for action or, respond personally to request providing required information or service.
- Take any action considered necessary to protect the leader from excessive and/or unwarranted demands on his/her work time. Maintain referral and follow up control logs to keep leader informed of impending actions, progress, etc.
- Arrange meetings with Senior Management, Board of Directors, Premier's Office, Ministers or senior officials of outside companies, as requested.
- Prepare and process confidential material related to overall corporate business plans, organization changes and executive appointments
- Prepare and edit correspondence, reports, presentations, and other documents.
- Coordinate and organize meetings, including preparing agendas, taking minutes, and following up on action items.
- Serve as a liaison between executives and internal/external stakeholders.
- Handle confidential and sensitive information with the utmost discretion and professionalism.
- Assist in project management and follow-up on key initiatives to ensure timely completion.
- Conduct research and compile data to support executive decision-making.
- Manage expense reports, budgets, and other financial documents.
- Perform other administrative duties as required to support the executive team.
EDUCATION
- Post secondary diploma/degree in Business Administration, Communications, or a related field preferred.
QUALIFICATIONS
- Minimum of 5-7 years of experience in an executive administrative support role.
- Exceptional organizational skills and attention to detail.
- Strong written and verbal communication skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
- Ability to prioritize and manage multiple tasks and deadlines in a fast-paced environment.
- High level of discretion and confidentiality.
- Strong problem-solving skills and the ability to work independently.
- Excellent interpersonal skills and the ability to work effectively with all levels of the organization.

The base salary range considers many factors including, but not limited to experience, education, and training, including any collective agreement requirements for union represented positions. It is not typical for the salary to be offered near the top of the range, and salary is dependent on numerous factors. For management roles, the base salary range does not represent the total compensation package. The total compensation package for regular full-time management roles includes pay-for-performance programs for annual and medium time periods.
