This is a construction site based position which assists and supports the Technical Services and Field Engineering team on site. The position relies primarily on established policies, procedures, and applicable work practices to make decisions as they apply to the job duties and responsibilities.
This position typically works on project activities to coordinate Project Document & Data Management (PDDM) project responsibilities including support of task force objectives and project milestones. This position will maintain effective communication with the Site PDDM Lead, Technical Services Manager, internal site taskforce members, contractors, and workshare offices. This position will oversee intermediate level work processes and work with the process throughout the life of the project. Although this position has no direct reports, this is a lead level position and the successful candidate must be able to work independently. This role requires knowledge of project data and document control procedures and intermediate/Senior Data Management System experience is required.
Accountabilities:
• Understand client requirements and provide insight regarding document submittal requirements.
• Properly train the task force in how to meet these requirements for subcontractor documents, redlines, and turnover binders.
• Provide insight and thoroughly follow the PDDM Quality and Execution Plans.
• Train the site team in how to access Coreworx document database, how to search for information, how to access reports and dashboards and what information/metadata is available.
• Be available to answer queries from the team regarding documentation, document submittals, metadata, reports, etc.
• Track and answer queries on timeline of submittals and return comments.
• May expedite internally and externally for these documents.
• Work with Contractors to review and address document and data rejections to ensure documents meet standards, or to dispute rejections in cases where the standards are already met per contract requirements.
• Create custom reports for the team members as required, can be one-off reports or recurring reports.
• Limited support to receive internal and external document submittals, upload to Coreworx and submit them to team for review. Receive return comments on the submitted documents and return them to the document originator.
• Audit documentation on a regular basis to ensure there are no gaps in information. Including but not limited to received and issued documentation to contractors, ongoing redlines, drafted or final turnover packages.
• May edit project workflows, Job Bulletins, work processes, quality checklist templates, and other project data and document management job book templates.
• Plan, organize, and carry out assignments given by PDDM Lead, Technical Services Management, and other project/construction management as required.
• Adhere to and support Fluor’s Health, Safety & Environmental and Sustainability Policies.
• Meet expectations on attendance and punctuality.
• Manage a dedicated mailbox to support the work.
• Maintain open communication to PDDM lead and workshare offices.
• Monitor document processing performed at a workshare office and perform document processing of time sensitive documents when required.
Core Activities:
• A combination of education and directly related experience equal to two (2) years; some locations may have additional or different qualifications in order to comply with local requirements
• Ability to communicate effectively with audiences that include but are not limited to management, coworkers, clients, vendors, contractors, and visitors
• Job related technical knowledge necessary to complete the job
• Ability to attend to detail and work in a time-conscious and time-effective manner
