- Location: Calgary, AB
- Shifts: Monday to Friday | 8 hours/day
- Job type: Full-Time | 6 weeks with possibility of extension

- Manage day-to-day administrative tasks including scheduling appointments, conferences, and speaking engagements, as well as handling changes and cancellations. Serve as liaison for Facilities and IT requirements.
- Provide administrative support in various corporate systems including D365, ADP Workforce, and BMO Spend Dynamics through data entry, scanning, and assistance.
- Maintain efficient communication flow between all organizational levels, acting as a liaison with other departments and external stakeholders.
- Review and prioritize Director's electronic mail, directing it to appropriate staff and drafting responses when necessary.
- Review, proofread, and format correspondence for accuracy and completeness, ensuring timely submission.
- Coordinate sensitive meeting materials with discretion and handle confidential information tactfully.
- Support Director's financial administration needs, including invoice tracking, employee expenses, and vendor setup.
- Compile meeting background information, attend meetings, and provide summaries as required.
- Create supporting documents for appointments and speaking engagements, collaborating with other departments as needed.
- Oversee and coordinate all internal and external meetings, as well as travel arrangements.
- Post-secondary education in business systems with computer proficiency.
- Minimum 3 years of administrative support experience, preferably in oil and gas or industrial sectors.
- Advanced understanding of organizational structure and hierarchy.
- Proficiency in Microsoft Outlook, Word, PowerPoint, Excel, Teams, and SharePoint at an intermediate level.
- Strong interpersonal, communication, and organizational skills, with the ability to work collaboratively and respectfully in diverse teams.
- Independent worker with a proactive approach to problem-solving and task management.
- Capable of working under pressure, meeting tight deadlines, and maintaining attention to detail in a fast-paced environment.
- Specialized training in advanced internal systems, conference/events management, finance, and conflict resolution is advantageous.
- Legally eligible to work and reside in Canada.
