Job Summary:
The Analyst position will report to the Sr. Manager, Facilities Operations and Services and will provide a variety of support functions for the Facilities leadership team. Main duties will include data analytics, research, innovation and project support across all areas of the Facilities department. This role will also be accountable for building and maintaining the Facilities annual operating budget as well as various project budgets, as required.
What you will do:
Reporting
Responsible for the collection and documentation of data to support the annual Facilities team’s scorecard
Responsible for the collection and compilation of various metrics and status updates for the department
Review operating practices and procedures in order to determine whether improvements can be made in areas such as workflow, reporting procedures, or expenditures
Extrapolating raw data and creating easy to read reports
Creating quarterly reporting decks for management review
Budgets
Responsible for the creation and management of the annual Facilities operating budget
Conduct quarterly analysis of the annual operating budget to support re-forecast submissions
Tracking and management of cost allocation to department cost centers
Ensuring vendor invoices are accurate and processed on time
Ensuring monthly rent payments are accurate and processed on time
Creation & tracking of various project budgets
Contract Management
Participate in the creation of RFP’s for products & services
Participate in the RFP review and recommendation of contract awards
Maintain relationships with external service providers and provide day to day direction for services
Manage a contract database to identify contract renewal and terminations
Technology Management
Responsible for research related to changing Facilities technology and trends in the market
Management of Facilities’ Service Now catalogue items and workflows
Oversee asset management system and space location modules
Liaison with IT partners to make any necessary changes or upgrades
Ownership of the daily operations related to our internal desk booking system
What you bring:
Advanced analytical skills with experience collecting, organizing, analyzing, and disseminating abundant information with accuracy
High attention to detail
Proficiency in MS Office applications (Word, Excel, PowerPoint, Outlook)
Knowledge of Power BI, an asset
Ability to adapt to change

3-5 years Analyst experience
Experience in vendor management and evaluation an asset
Experience working with Budgets, Budget Planning, and invoice reconciliation
Experience with CAFM’s, ERP’s, or Workflow Automation Software’s, an asset
Experience working within a Facilities group and or fast paced environment an asset
Customer Service experience
University or College degree focusing on Business, Technology, Data Science/Analytics, or equivalent
