Job Duties/Accountabilities
- Provide administrative support to 5 Directors, 15 Regional Managers and all store managers as required
- Manage monthly expenses
- Manage the directors' schedules as required
- Organize and coordinate travel (plane, hotel ...)
- Coordinate team meetings, logistics (room, meals, materials needed)
- Maintain vacation records for Directors and regional managers
- Order office supplies and meet telecommunications and workplace requirements
- Prepare presentations, documents and other reports as required
- Process payment of invoices
- Prepare applications for access cards for new employees as required
- Manage requests for corporate suites at Bell Centre
- Manage special projects during the year, if applicable
Critical Qualifications/Competencies
- Initiative and ability to work with minimum supervision
- Solid organizational skills and ability to handle multiple inquiries
- Strong PC skills (MS Office Excel, Word, PowerPoint, Outlook)
- Ability to operate effectively under pressure
- Strong oral and written communication skills
- Ability to write various letters, memos etc. for internal and external clients of all levels, proofread and edit presentations and have the ability to clearly articulate and clarify requests
- Strong interpersonal skills with the ability to interact with clients of all levels in a confident, courteous and professional manner
- Highly developed sense of professionalism and ethics
- Bilingualism is required (English and French). You will be required to interact with French & English speaking stakeholders across Canada
Preferred Qualifications/Competencies
- Knowledge in APSS, Ariba and HR SAP System
- Knowledge of NM1
