The Program Support/Summer Student is part of the Community Support Services department.  The role provides administrative and operational support to ensure the efficient delivery of programs and services within the Barrie area. This role plays a key part in maintaining smooth day-to-day operations, supporting team members, and enhancing client experiences.  Responsibilities may also include greeting and assisting visitors at reception.

 


In this role, you will:

  • Assist in daily execution of operational tasks of program or service activities.

  • Maintain accurate records and databases, including client, volunteer, donor, and program data, ensuring compliance with privacy and security policies.

  • Serve as a point of contact for basic customer inquiries or issues and/or triage inquiries from internal and external clients.

  • Collaborate with team members, suppliers, or stakeholders to meet service delivery objectives.

  • Participate in team meetings, record minutes and share accordingly.

  • Follow established office procedures and contribute to improvements by adjusting existing processes, templates or processes.

  • Compile data, statistics, and other information to support research activities.

  • Support activities required for conference activities and/or events.

  • Maintain office supply inventory, preparing purchase orders, and processing/delivering office supply requests (if in an office environment).

  • May assist with basic financial tasks such as processing invoices, preparing bills, tracking expenses, or reconciling accounts.




What we are looking for:

  • High school diploma with up to one year experience, or completion of one year of a post-secondary program or technical course and/or an equivalent combination of education and experience.

  • Proficiency in standard computer applications (Microsoft Office Suite).

  • Ability to apply defined solutions to straightforward problems.

  • Communications skills to exchange straightforward information in routine situations

 

Working Conditions  

  • Work will be primarily in an office environment

  • Occasional requirement for a moderate degree of concentration and attentiveness. 

  • Occasional requirement for a moderate level of detail/precision.

  • The majority of the work is performed in an environment which is mostly clean and comfortable.

  • As we work with and support people (managers, colleagues, beneficiaries/customers, volunteers, donors and external partners) and communities in Canada and around the world, applicants whose first language is not English may be required to perform the responsibilities of the role in English.
