Responsibilities for this Executive Assistant job opening in Toronto, ON can include, but are not limited to;
- Heavy calendar management and support of often changing calendar with multiple priorities including internal/external/personal meetings
- Prepare various documents, reports and presentations
- Meeting preparation and set up for various meetings (including Board meetings) including material coordination, meeting itineraries, taking minutes and follow up reports.
- Travel coordination and planning including all logistics such as itineraries, reservations, flights, hotels etc – this can include a mix of business and personal
- Research and reporting for projects and updates
- Track and process expense reports in a timely and meticulous manner
- Provide consultative suggestions to the team based on research and knowledge gained; always keeping the team at top importance
- Assist with office management and facilities related tasks to help keep the flow of the office running smoothly in support of others including back up reception when required.
- Handling confidential and sensitive information; high level of discretion at all times.
- Perform other administrative duties as assigned, such as events planning/coordination etc.
- At least 3-5 years of Executive Assistant experience; C-Suite support experience a strong asset
- Highest preference to those having come from small to mid-size companies; understanding the versatility within the role in this setting
- Excellent judgment, diplomacy and tact combined with a high level of detail
- Strong MS Office skills, Word, Excel, PowerPoint and Outlook
- Strengths in managing multiple priorities and forward thinking
- Ability to work under minimal supervision and demonstrate initiative
- Career commitment with leadership/mentorship qualities and a customer-centric personality
- Superior interpersonal and communication (written and verbal) skills
- Flexibility to work overtime when needed
