Adecco is currently hiring a Document Control & Administrative Coordinator for a full-time position in Pembroke, ON. This opportunity is ideal for a highly organized and detail-oriented professional with experience in a manufacturing environment who thrives in a structured, compliance-driven setting.
As a Document Control & Administrative Coordinator, you will be responsible for managing document control processes, supporting training and audit activities, and handling various administrative functions to ensure smooth day-to-day operations within the facility.
Pay Rate: $55,000/year
Location: Pembroke, ON
Schedule: Full-time, Monday to Friday, 8:30 AM to 4:30 PM
Contract: Temporary with potential for permanent

Responsibilities:
Manage document control processes, including updates, revision tracking, and maintaining documentation libraries across the facility
Print and distribute updated documents based on Engineering Change Notices
Prepare training attendance forms and coordinate document-related training with production teams
Upload and manage training records within Q-Pulse
Maintain employee training databases and ensure certifications and recertifications are up to date
Participate in internal and external audit activities
Support maintenance and engineering teams with document creation and updates (e.g., work instructions, maintenance instructions, LOTO procedures)
Manage petty cash, prepare receipts, and submit monthly summaries to finance
Create purchase requisitions and purchase orders for non-inventory items
Track invoices and ensure proper processing and submission to finance
Oversee kitchen supplies and maintain common area equipment
Assist with social committee activities, plant tours, and events
Maintain key administrative records, including headcount lists, security access, emergency contacts, and vendor lists
Support business continuity planning and other special projects as required
Requirements:
Certificate or diploma in Business Administration or equivalent experience
Minimum 3 years of experience in an administrative role
Minimum 2 years of experience in an ISO-certified manufacturing environment
Proficiency in Microsoft Office (Excel, Word, PowerPoint)
Strong analytical and problem-solving skills
Excellent organizational and time management abilities
Strong interpersonal and relationship-building skills
Customer-focused mindset with a commitment to continuous improvement
Ability to manage multiple tasks and priorities effectively
Must be eligible to obtain a Controlled Goods Clearance
