The Office of the Registrar (RO) ensures adherence to academic regulations and processes that facilitate the provision of valued credentials. A strategic partner in program and student success, the RO champions NAIT’s educational model and provides subject matter expertise on admissions, enrolment, and student information system solutions and data.

We are looking for enthusiastic and self-motivated individuals with a passion for helping people achieve their goals through higher education. As an essential team member within the RO, Admissions Officers work with other members of the Admissions team in a dynamic and fast-paced environment. This complex and busy role is a good fit for someone dedicated who is looking for a challenge.

 

The Admissions Officer is accountable for accurate and efficient processing of student applications to NAIT Degree, Diploma, and Certificate programs. Admissions Officers review, analyze, and interpret applicants’ admission documents and academic history, evaluating against program eligibility criteria for admission. The Admission Officer is also responsible for relationship management and communicating consistent, accurate and clear program admission requirements to applicants, Schools, and other RO business units and Student Services departments.


Key Responsibilities:

  • Process large volumes of applications
  • Maintain an in-depth knowledge of NAIT admissions policy and procedure, and apply it correctly to all applications
  • Understand and interpret a wide array of admission documents and academic history, for both domestic and international applicants
  • Develop a thorough understanding of Alberta Education high school curriculum and transcripts, other provincial high school transcripts, and standard practices at major post-secondary institutions in Alberta and throughout Canada
  • Use good judgment and critical thinking skills to resolve complex cases consistently and in line with NAIT policy
  • Be accountable for the accuracy and timeliness of decisions on application files
  • Keep track of differences in requirements and processes that vary between programs, terms, and pathways
  • Respond to questions and concerns from applicants promptly and tactfully
  • Adhere to FOIP legislation and maintain the confidentiality of records and documentation
  • Establish strong and effective working relationships with Schools and other NAIT departments
  • Assist with creating and updating Admissions documentation and resources
  • Comfortably and competently use PeopleSoft Campus Solutions for daily work, as well as the Microsoft Office suite (Word, Excel, Outlook, Teams, SharePoint), the ServiceNow ticket system, and a variety of online resources (e.g., Alberta transcript toolkit, AGPA calculator)
  • Understand how to use complex spreadsheets and read detailed reports (e.g., PeopleSoft queries)
  • Use system data to monitor the status and progression of applications, program fill and attrition
  • Be accountable for meeting assigned program targets and respond quickly if and when targets change
  • Independently track progress toward targets and adjust daily priorities to meet assigned weekly priorities and allocations
  • Identify and implement improvements for internal processes and workflows
  • Balance multiple priorities, meet deadlines, and thrive under pressure


Skills & Abilities:

  • Experience working within critical deadlines and managing changing priorities effectively in a high-stress, high-volume environment
  • Time management and organizational skills are essential
  • Critical thinking, problem solving, and analytical skills
  • Proven ability to make sound judgment calls when presented with unfamiliar cases
  • Must be able to independently think through complex applicant issues, understand when to escalate to a supervisor for support, and take the initiative to provide solutions
  • Willingness to be accountable for decisions, take ownership of errors if they happen, and proactively find solutions
  • Self-motivated and able to thrive in a high-complexity, detail-oriented role
  • Quick learner who likes a challenge, is able to grasp complex concepts quickly and develop extensive expertise with previously unfamiliar concepts
  • Experience utilizing a variety of resources to complete research and documentation
  • Excellent written and verbal communication skills in English
  • Understanding of post-secondary administration and admissions’ relevance to the institution’s stakeholders and goals
  • Demonstrated ability to deal with uncertainty and adapt quickly to change
  • Experience working efficiently and effectively both independently and in a team
  • Prior knowledge of admissions methodology is an asset
  • Experience with the PeopleSoft Campus Solutions system, especially from an admissions perspective, is an asset
  • Experience using queries and/or interpreting data sets is an asset

Qualifications:

  • Post secondary diploma with 3-5 years of related experience
  • Post secondary degree is preferred
  • Equivalencies may be considered


Previous experience in a Registrar’s Office working with a student information system like PeopleSoft Campus Solutions is preferred.

Applicants with education credentials earned outside of Canada should have their credentials evaluated by World Education Services or the International Qualifications Assessment Service (IQAS).

 

 

Remuneration: $55,138.46 - $72,519.72 annually, plus a comprehensive benefits package. (Classification – Admin Officer I).                           

 

This position is covered by the Alberta Union of Provincial Employees (AUPE) Collective Agreement.
