Job Duties/Accountabilities

  • Provide administrative support to 5 Directors, 15 Regional Managers and all store managers as required
  • Manage monthly expenses
  • Manage the directors' schedules as required
  • Organize and coordinate travel (plane, hotel ...)
  • Coordinate team meetings, logistics (room, meals, materials needed)
  • Maintain vacation records for Directors and regional managers
  • Order office supplies and meet telecommunications and workplace requirements
  • Prepare presentations, documents and other reports as required
  • Process payment of invoices
  • Prepare applications for access cards for new employees as required
  • Manage requests for corporate suites at Bell Centre
  • Manage special projects during the year, if applicable

Critical Qualifications/Competencies

  • Initiative and ability to work with minimum supervision
  • Solid organizational skills and ability to handle multiple inquiries
  • Strong PC skills (MS Office Excel, Word, PowerPoint, Outlook)
  • Ability to operate effectively under pressure
  • Strong oral and written communication skills
  • Ability to write various letters, memos etc. for internal and external clients of all levels, proofread and edit presentations and have the ability to clearly articulate and clarify requests
  • Strong interpersonal skills with the ability to interact with clients of all levels in a confident, courteous and professional manner
  • Highly developed sense of professionalism and ethics
  • Bilingualism is required (English and French). You will be required to interact with French & English speaking stakeholders across Canada

Preferred Qualifications/Competencies

  • Knowledge in APSS, Ariba and HR SAP System
  • Knowledge of NM1
