The Casual Instructor Assignment and Exam Coordinator is responsible for the efficient scheduling, administration, and oversight of casual contract hiring and onboarding, as well as coordination of exams for the JR Shaw School of Business. Reporting to the Academic Strategy and Operations Manager, this role involves working closely with instructors, chairs, operations admins, associate deans, and other relevant stakeholders to ensure the administration of casual sections and exams run smoothly and all processes adhere to institutional guidelines. The CEC will also oversee contract preparation and onboarding for casual hires, ensuring consistency across the school.

 

This posting will be used to fill a CEC Coordinator position, with a primary focus on the casual instructor assignment responsibilities. The successful candidate will work collaboratively with another CEC Coordinator to ensure the entire portfolio of work is supported effectively.

 

Key Responsibilities:

Casual instructor Hiring, Onboarding, and Coordination

  • Coordinate with the AQOE on new section requirements as well as resourcing and predictive modeling for the future.
  • Coordinate casual assignments with academic leadership, HR Contract Assistant, and administrative staff.
  • Identifying and pre-screening potential candidates for casual instruction.
  • Coordinate and execute the onboarding experience for casual instructors.
  • Develop and maintain strong working relationships and be an established point of contact for casual assignments.

Exam Planning and Scheduling

  • Collaborate with faculty members, program chairs, and scheduling office to identify exam needs for all courses and scheduled exams.
  • Coordinate with ITS to ensure all technical requirements for digital exams are met.
  • Manage the scheduling of exam deferrals as well as plan and schedule invigilation.
  • Identify potential issues such as overlapping exams, limited room availability, or high-demand exam slots and develop solutions to prevent disruptions.
Data Management and Reporting
  • Report on section efficiency, fill rates, break-even calculations and other performance and financial reporting requests.
  • Input exam data into the Campus Solutions system.
  • Track and report on exam attendance, deferrals, and conflicts.
  • Assist in preparing, onboarding, and maintaining casual assignments for casual instructors.
  • Maintain an active database of casual instructor candidates with identification of course and subject matter expertise.

Qualifications:

  • Related post-secondary education (Degree, Diploma and/or Journeyperson Certificate).
  • 3-5 years of related experience in a coordination role.
  • Excel or Database experience would be an asset.
  • Experience working in a post-secondary environment is an asset.
  • Experience in career development and counseling, high school liaison, and/or student recruitment, is an asset.
  • Valid Driver’s license required.
  • Equivalencies may be considered.
 

Applicants with education credentials earned outside of Canada should have their credentials evaluated by World Education Services (WES), International Qualifications Assessment Service (IQAS) or the Comparative Education Services (CES).

 

Remuneration: $65,773.24 - $88,144.94 annually, plus a comprehensive benefits package. (Classification – Coordinator I).                           

 

This position is covered by the Alberta Union of Provincial Employees (AUPE) Collective Agreement
