Purpose of Job:
Contributes to the overall success of the Operations department of Scotia Dealer Advantage ensuring continuous improvement of the workplace experience. Facilitating business line oversight and communication building to ensure employees are engaged and involved. Championing the complete onboarding/offboarding experience. Ensures all activities conducted are in compliance with governing regulations, internal policies and procedures
Is this role right for you? In this role you will:
- Champions a customer focused culture to deepen client relationships and leverage broader Bank relationships, systems and knowledge.
- Adhere to the compliance of regulatory and internal Bank guidelines by: executing the unit’s Occupational Health & Safety (OHS) program, related Emergency & Evacuation procedures, and other corresponding duties; acting as the unit’s primary key custodian and adhering to the established system by which keys, alarms, FOB cards and other custodial items are securely tracked and managed; performing all other duties as assigned.
- Provides a high level of service to internal and external customers by: projecting a professional image at all times by ensuring boardrooms and surrounding areas are maintained; assisting with any meeting requests or other administrative tasks; updating and maintaining company phone lists and posts on SharePoint and Viva Engage; supporting all aspects virtually through mastery of multiple platforms (MS Teams, Viva Engage and SharePoint); ordering and maintaining levels of stationary and business cards; maintaining and organizing supply cupboards; assisting with the correction of deficiencies with respect to the unit’s premises, processes, equipment and supplies; tracking and communicating supply of IT equipment required; assisting with the coordination, set up and delivery of items required for business line events; drafts communications and presentations; performing all other duties as assigned.
Effectively contributes to the quality and efficiency of SDA operations by: maintaining SDA’s SharePoint Document Repository, resolving operating issues and taking appropriate action to prevent recurrence; being the primary approver for SharePoint document uploads verifying format and ensuring approvals follow the Repository Authority Matrix; escalating issues, reporting on obstacles and trends as appropriate; prepare monthly Quality Assurance sign off reports for Directors and VP; assisting Senior Manager, Operations on SDA projects.
Ensuring onboarding, offboarding, and all hire procedures are performed, adhered to and up-to-date by: updating and refreshing onboarding program for SDA; conducting new hire orientations (virtually and in person), tracking completion of orientations and 3-month follow up for all new hires and obtaining constant feedback on hiring process via surveys; collecting CUARs from hiring Managers, granting appropriate accesses (or removing accesses) to job role required systems, distribution lists, and programs, ensuring full communication is provided throughout said process with hiring Managers; ordering necessary equipment for new staff members (if applicable).
- Ensure accurate data within the OfficeSpace database used to track and monitor employee information and onboarding/offboarding data by: accurately managing the Hamilton OfficeSpace database to maintain complete workstation/employee records and to track/monitor on/offboarding data including but not limited to workstation assignment, key records management, security access badges, lockers; liaising with IT in coordinating office and at home equipment/installation; assisting with employee relocations and workstation changes.
- Understand how the Bank’s risk appetite and risk culture should be considered in day-to-day activities and decisions.
- Actively pursues effective and efficient operations of his/her respective areas, while ensuring the adequacy, adherence to and effectiveness of day-to-day business controls to meet obligations with respect to operational risk, regulatory compliance risk, AML/ATF risk and conduct risk, including but not limited to responsibilities under the Operational Risk Management Framework, Regulatory Compliance Risk Management Framework, AML/ATF Global Handbook and the Guidelines for Business Conduct.

- Working knowledge of Occupational Health & Safety procedures.
- Strong organizational and time management skills; the ability to prioritize, allocate and monitor workload; using sound judgment to address problems and discrepancies.
- Proven interpersonal and communications skills.
- A high degree of flexibility is required to adapt to a variety of tasks and functions. Strong PC skills are necessary.
- Strong knowledge of SDA’s products, services, policies, procedures and operating systems
