This opportunity is with our Good Shepherd – Women's Services – West Ave

How You Will Make an Impact

Reporting to Women's Services West Avenue Program Manager, the Program Assistant enhances the dignity and quality of life of our clients, visitors, volunteers and staff by providing efficient, courteous and quality services that support the management team and staff in the day-to-day operation of the residential program. At West Ave we are commitment to the provision of cultural safety and Trans/Gender positive space. West Ave operates within a trauma-informed, feminist, anti-racist/anti-oppressive framework and is firmly rooted in harm reduction principles. The program assistant will work in a residential setting serving individuals from a variety of backgrounds and experiences.

The program assistant responsibilities may include:

  • Maintaining electronic and manual filing systems
  • Preparing a variety of documents such as letters, reports, presentations, agendas, minutes, resident notices etc.
  • Provide front desk coverage- answering phones, doors, greeting visitors and clients.
  • Compile and complete data entry/ maintain data entry databases.
  • Maintain, order and procure program inventory and supplies.
  • Follow up with maintenance, work orders and pest control services.
  • Handle and reconcile petty cash and similar monies
  • Receive, record and respond to messages in a timely and accurate method
  • To assist the manager/ designate with communications related to schedules and filling vacant shifts
  • Preserve the dignity of all persons by communicating in a calm, welcoming and professional manner.
  • Observe all health and safety rules and work in compliance with the provisions of the occupational Health and Safety Act and its regulations

What You'll Bring to Our Team

  • Minimum of 1 year experience in providing clerical, secretarial and administrative support. 
  • A post-secondary completion of a relevant field of study 
  • Proficiency in Microsoft Office programs and strong written and oral communication is required.
  • Time management skills and ability to work independently is required.
  • Must be comfortable answering phones and communicating directly with service users.
  • Understand and be comfortable working from a person-centered, harm reduction, trauma-informed approach.
  • Experience with HIFIS or EMHware database is an asset.
  • Fluency in a 2nd language is an asset.
  • CPR certification or willingness to be certified is required.
  • Valid G license and ability to drive Good Shepherd vehicles is required
