The Financial Aid and Awards Information Specialist supports the customer service business model for Sheridan by providing information and advisory services for the Financial Aid & Awards Office. The incumbent investigates student financial aid history and provides guidance to current students, potential students, parents/other third parties and alumni regarding status of applications for financial assistance (Ontario Student Assistance Program (OSAP), out-of-province loan funding, and all internal and external scholarships, bursaries and awards) and receipt of funds from these sources to offset charges to students’ accounts. The Specialist also supports the administration of the OSAP program by supporting the processing of numerous work queues throughout the academic cycle and is responsible for all Financial Aid student record retention and tracking as mandated by the Ministry of Colleges and Universities (MCU) and the Province of Ontario Freedom of Information and Protection of Privacy Act.
What You’ll be Doing
- Providing immediate, accurate, specific advice and guidance to complex issues as related to OSAP policies, regulations, and processes, after analysis of all MCU systems, ONe-key portal and Sheridan’s Student Information System (SIS), and student awards via the Sheridan Awards Management System while keeping abreast of ever-changing OSAP policies
- Providing Sheridan program-specific customer service and advice through response to in-person, email and telephone inquiries related to fee payments, withdrawals, specific OSAP or other financial assistance, the application and interpretation of Sheridan and MCU policies; investigating and resolving process anomalies, provides general administrative information (e.g. housing, parking, mobile leasing, etc.); and triaging as appropriate to other members of Financial Aid & Awards as well as greater Sheridan College community
- Reviewing OSAP applications for completeness and advising students of missing, incorrect or additional required documentation. (e.g.: signatures/inconsistencies/conflicting information)
- Supporting Financial Aid Advisors with the review/processing of numerous OSAP work queues to manage peak period volumes (e.g. OSAP signature pages, full-time/part-time OSAP cost code information, and continuation of interest-free status (CIFS), student profile updates)
- Processing student refunds from Finance in accordance with OSAP policies and recording on SIS and OSAP ONe-key after analysing student’s Sheridan account & OSAP funding.
- Liaising with the National Student Loan Service Centre (NSLSC) to ensure refunds are posted correctly towards student loan or grant overpayments in accordance with OSAP policies
- Participating in Sheridan events as Financial Aid & Awards representative (e.g., Open House, New Student Orientation, financial literacy workshops)
- Maintaining retention and archival processes of all campus-specific documentation (i.e.: paper and electronic format), in accordance with MCU policies and procedures as well as Sheridan's established Records and Information Management policy and procedure
- Other related duties as assigned.

The successful candidate will also meet the following:
- 3-year diploma/degree in the field of public relations, social service, communications, accounting, business or related field, along with 2-years of practical experience in a public relations or customer service role in a busy service environment processing a wide variety of transactions. Equivalency will be considered.
- Demonstrated experience in financial analysis, preparing personal budgets, and discussing financial information with customers.
- Proficiency with Microsoft Office Suite (i.e. Excel, and Word). Experience with PeopleSoft Information System, Ministry on-line Financial Aid system, and previous work in an educational institution will be considered an asset.
