This is a 12 month contract backfilling for a maternity leave.
What you’ll be doing:
- Maintain and operate help-desk like services for the Environmental Services team at the Health Centre (maintenance, grounds, security, Switchboard and housekeeping), the facility services team at HHI offices nationwide, and various off-site locations
- Respond to incoming calls, process requests and dispatch service personnel as required
- Maintain and operate the Computerized Maintenance Management Software (Maximo)
- Print and distribute scheduled work orders to the various trades and service providers within Environmental Services
- Receive unscheduled work orders via Maximo, voicemail, telephone, or e-mail
- Maintain equipment inventory
- Generate monthly and on-demand financial reports for various cost centers
- Maintain schedules for various departments (regular schedule, on-call, vacation, call-in replacements)
- Enter schedules into Kronos timekeeping system and update electronic timecard changes and/or exceptions on a daily basis
- Prepare payroll records for bi-weekly sign-off by Managers/Supervisors
- Process pending invoices for payment
- File purchase requisitions/purchase orders and maintain accurate file system
What we’re looking for:
- Community College certificate/diploma preferred
- 2 years’ customer service experience face-to-face, over the phone and by way of various electronic means
- Strong customer service and interpersonal skills
- Advanced Microsoft Word, Excel and PowerPoint
- Ability to balance and prioritize multiple competing demands
- Strong organizational skills with exceptional attention to detail
- Professional, positive and helpful
- Excellent time management skills, reliable and dependable
- Familiarity with Homewood’s Facility Services operations would be an asset
- Experience with Kronos, Maximo, UpKeep and/or Status Solution software would be an asset
