Support Officer, Learning Support Centre
The Support Officer, Learning Support Centre fosters student engagement and success through the coordination and delivery of an assigned portfolio of peer-to-peer academic support programs and services offered through Student Services and the Learning Support Centre. Programs and services include, but are not limited to: Peer Tutoring, Peer Note-Taking, Peer Mentoring, Peer Assisted Study Sessions, Math Learning Centre, Writing Centre, Faculty-Directed Workshops, and Student Leadership Professional Development.
Reporting to the Manager, Learning Support Centre, and working collaboratively with members of the Student Success Initiatives team and Dean of Students team (Counselling Services, Accessible Learning Services, Student Engagement, etc.), the incumbent has a variety of operational, administrative and reporting responsibilities in support of student development and success.
Responsibilities include: (1) general peer-to-peer program and service administration, data tracking and reporting; (2) facilitating the recruitment, hiring; coordination and mentoring of part time student staff/peer leaders; and (3) marketing, promotion and event planning.

The duties of this position include, but are not limited to:
General Program Administration, Data Tracking and Reporting
- Coordinates daily operations of an assigned portfolio of peer services (Tutoring, Mentoring, Note-taking, Peer Assisted Study Sessions, Math Learning Centre, Writing Centre, Student Ambassadors, etc.) as per operational plans and guidelines developed by the Manager and using best practices documented in recent literature, research and faculty resources.
- Liaises with allied service areas to ensure effective service delivery within the Learning Support Centre (e.g., Accessible Learning Services, Counselling, First Generation Project, MLC CE Program Manager, Language and Culture Centre, Student Engagement).
- Liaises with allied service areas to facilitate and promote professional development opportunities for student leaders.
- Maintaining records including: tracking tutor hours, fulfillment of duties, tutee cancellations, completion of peer leader training modules in e-Learn, and submission of necessary paperwork.
- Facilitates updates to online booking systems (e.g., WC online) for various peer service areas.
- Organizes the development and/or modification of program operational documents (e.g., manuals, forms, contracts) and procedures based on project charters, program goals set by Manager, or other information (e.g., usage stats).
- Coordinates information and data capture processes including service use, customer satisfaction, quality measures, and other outcome measures with planning and direction from Manager.
- Plans, coordinates, and develops reports on service use metrics and outcomes using data (e.g., WCOnline) and spreadsheets on all service areas in the Learning Support Centre and other services. Manipulates data and generates charts, tables, and reports using Microsoft Office tools.
- Proposing new services to the Manager based on feedback and collaboration with student service and allied partners.
- Preparing for signature part-time employment contracts (for tutors, Student Ambassadors, PASS Leaders etc.) and other employment forms (job descriptions, confidentiality agreements, etc.)
- Organizes and stores key documentation under direction of Manager including staff contracts, time sheets, receipts and expenses, software license agreements, etc.
- Works with Financial Assistance staff to identify and complete administrative paperwork associated with eligible CSEP (Campus Student Employment Program) student leaders.
- Monitors student hours to ensure alignment with budget allowances and reporting to Manager, where there are discrepancies.
- Processes part-time and student staff timesheets every pay period: reviews it and prepares it for Manager to view and sign-off on, which is then sent to Payroll.
Coordinates the recruitment and selection of Part-time Student Staff/Peer Leaders (e.g., tutors, mentors, note-takers, Student Ambassadors, PASS leaders, etc.)/Co-op Students & Volunteers
- Plans and coordinates recruitment and hiring campaign for new peer leaders, co-op students and volunteers each semester for all campuses.
- Facilitates the process of interviewing and hiring of peer leaders each semester.
- Assisting the Manager in determining staffing levels and distribution of peer leaders across faculty, courses, campuses, or service areas.
Assists the design and delivery of Student Staff/Peer Leaders (e.g. Tutors, Student Ambassadors, Student Success Mentors, Social Media Ambassadors, Co-op Students, P.A.S.S. Leaders, mentors, note-takers, etc.)
- With the LSC team, assists with the planning, coordinating and facilitation of training of all peer leaders in collaboration with student service partners and allied services.
- Coordinates work schedules of peer leaders (tutors, co-op students, volunteers, mentors, note takers) and part time student staff (e.g., Student Ambassadors) to provide adequate services within the Learning Support Centre.
- Ongoing coaching and mentoring of student leaders.
Marketing and Promotion
- Plans and coordinates development of promotional materials for Peer Services area such as social media, posters, website, print materials, digital signage, internal communications, and other means in collaboration with teams and partners in Student Services and the Learning Support Centre.
- Reviews and updates content for the Learning Support Centre website, as necessary.
- Supports marketing and promotion efforts for student training events by other departments.
Event Planning
- Facilitate the coordination, development, promotion and delivery of student workshops/events, in collaboration with partners in Student Services and the Learning Support Centre (i.e. Student Leader Development Series, Carpe Noctem, Professional Development for Peer Leaders, Tutor appreciation, Group workshops (such as Linc 6), MSLA (Mohawk Student Leadership Academy, ESL Conversation Club, Celebration of Learning, Day One Orientation for new students).
- Recommends new event and student learning support programming ideas to meet current student needs based on best practice and innovation in the learning support field.
Other duties as required by the Manager in support of student success and routine operations within Student Services or the Learning Support Centre.
Qualifications:
The successful candidate will have:
- A minimum of a three-year post-secondary education in a Business, Adult Education, Human Services or similar program; or equivalent combination of education and experience.
- A minimum of 2 years of practical experience administering peer-to-peer student leadership programs in a post-secondary educational setting.
- Supplemental Instruction – proficient in the delivery of this type of peer-to-peer academic support program.
- Student & Adult Learning and Development – a demonstrated working knowledge of student development and adult learning theories, approaches and best practices;
- Peer-to-Peer & Student Leadership Administration – a demonstrated working knowledge of student leadership administration theories, approaches and best practices;
- Event Planning / Project Management – demonstrated experience coordinating workshops, events and managing projects;
- Approachable and Relatable to all members of College community - Ability to positively relate to students, faculty, staff, administration and the general public in a variety of situations (one-to-one and groups) is essential;
- Knowledge of Post-Secondary Education Systems: knowledge of College programs, Student Policies, Student Support Services, Student Success Initiatives, and corporate databases including SCT Banner system or similar student information management systems would be an asset.
- Strong Organization and Multi-Tasking Skills: ability to manage multiple student tasks, projects and issues at the same time. Knowledge or experience with project management would be an asset.
- Team-Oriented: Demonstrated intrapersonal skills and an ability to work effectively in a team environment is essential;
- Language and Communication Proficiency: Strong communication and writing skills.
- Demonstrated commitment and understanding of human rights, equity, diversity and inclusion with the ability to communicate and work effectively with diverse groups of students, employees and the community.
