The Stock Transfer Administrator is primarily responsible for the comprehensive management of security production, auditing, and maintenance within the stock transfer department. This role ensures accuracy, compliance, and efficiency in all stock transfer operations, with a secondary responsibility to provide support for administration.
Key Accountabilities:
Print & Audit (80%)
Design and create security templates.
Produce and issue securities, including branch printing coordination.
Perform a thorough review and audit of transactions and securities produced.
Countersign securities.
Manage security certificate destruction.
Maintain and administer working and secured room inventory of securities.
Administer legend text, affixing, and printing restrictions.
Place, remove, and release stop transfer notations on the system.
Maintain and administer co-transfer agent inventory.
Daily record date administration.
Ad-hoc tasks as the need arises.
Administration Support (20%)
Assist in the coordination of transaction issuances and cancellations.
Support the review and validation of directions and supporting documentation.
Assist in the batching, confirmation, and completion of directions on internal and CDSX systems.
Provide support in liaising with relationship managers and brokers to resolve deficiencies.
General Administrative Duties:
Ensure compliance with policies, procedures, and regulatory requirements.
Maintain accurate records and documentation.
Provide ad-hoc support and complete other duties as assigned.
Must haves:
High attention to accuracy and detail, especially in security production and auditing.
Ability to prioritize, multitask, and meet strict deadlines.
Strong analytical and problem-solving skills.
Solid working knowledge of the securities industry, particularly stock transfer operations.
Adaptability to changing environments and responsibilities.
Ability to work both independently and as part of a team.
Excellent organizational, interpersonal, and communication skills.
Proficiency in MS Office Suite and Google Suite.
Flexibility to work overtime as the need arises.
Nice to haves:
Completion of Canadian Securities Course and similar courses are preferred
Previous experience in a securities environment
