Job Description:
We are looking for a Sr. Coordinator, Agency Operations, who will help plan and execute integrated marketing campaigns with strong organizational skills and an attention to detail. This role will serve as the primary point of contact between our agency and brands teams and represent the interests of each group to ensure campaigns are delivered and objectives are met. The ideal candidate will be a problem-solver, fast-thinker and have some experience leading creative projects.
The Specialist, Agency Operations will report to the Sr. Manager, Agency Operations and support our retail and/or control brand portfolios.
What you’ll do:
- Be the key liaison between our agency teams and Brand Partners to help drive projects through the organization
- Create project plans to govern all campaigns/initiatives
- Identify and escalate risks while helping mitigate and manage teams accordingly
- Iterate and troubleshoot as necessary to deliver the project to success
- Build timelines and meeting cadence for dedicated project team
- Establish key project milestones to ensure project delivery, including major stakeholder check-ins
- Manage stakeholder reviews and approvals throughout the lifecycle of the project
- Hold team members accountable to deliver their obligations as are outlined in the plan
- Establish status meeting approach and guidance for participation
- Prepare and circulate consolidated meeting documentation in advance of meeting
- Work closely with cross-functional teams including creative, production, and agency operations to ensure seamless project execution.
- Work with broader Agency Operations team to forecast, track and reconcile agency fees and production costs for projects
- Develop executional briefs, traffic sheets, and other documentation to ensure the successful delivery of integrated campaigns
What you’ll need:
- Bachelor's degree in a related field
- 1+ years of relevant, with a proven track record of successfully leading, managing, and delivering complex projects
- Proven leadership skills with the ability to inspire and guide cross-functional teams
- PMP, CAPM, PMI-ACP or CSM designations considered an asset
- Strong strategic thinking, problem-solving, and decision-making abilities
- Proficiency in project management tools and MS Suite
- Excellent communication, negotiation, and interpersonal skills
- Detail-oriented, highly organized, and adept at managing multiple projects simultaneously
- In-depth knowledge of production workflows, industry trends, and emerging technologies
- Business acumen and a customer-focused approach
- Ability to thrive in a fast-paced, dynamic environment
