Job Summary
This position is responsible for managing residence room bookings for conferences and events, as well as the bookings of signature suite rentals and event spaces operated by Housing and Conference Services. Key responsibilities include customizing registration portals, optimizing group bookings, and analyzing data. Additionally, this role involves enhancing the reservation booking system to adapt to the department’s evolving needs and overseeing occupancy levels to maximize revenue growth.
Key Functions
• Responsible for the residence room and event booking software including working with software provider to troubleshoot and improve booking experience.
• Collaborate with Conference and Events staff to understand registration needs and provide solutions.
• Customize and maintain registration portals for events, conferences, or programs within the residence room booking software.
• Ensure user-friendly interfaces, efficient workflows, and accurate data capture.
• Coordinate room assignments and optimize availability of the residence space portfolio.
• Work with clients to accommodate special requests, including group bookings, accommodation needs, support booking of nonresidence room spaces.
• Collaborate with online travel agents to optimize room bookings year-round.
• Analyze room inventory to maximize occupancy and revenue for future summer seasons.
• Monitor online travel agents’ performance metrics and adjust pricing and availability accordingly.
• Engage with clients to finalize bookings based on contracted specifics for group bookings, online registration and ticket sales, etc.
• Troubleshoot client concerns regarding bookings and provide solutions to ensure a positive experience.
• Analyze occupancy trends, booking patterns, and revenue data and provide insight and reporting for leadership review.
• Create visual reports and dashboards to inform decision-making on future planning.
• Attend team meetings, cross-functional meetings, client meetings, and project-specific discussions.
• Collaborate with colleagues to ensure seamless operations and effective communication.
• Contribute to special projects related to system enhancements, process improvements, or client satisfaction.
• Ability to provide trusted guidance while interacting with clients.
Requirements
• A 3-year post-secondary program in a related field.
• Requires a minimum of more than 2 years of relevant experience.
Supervision
• Occasionally provides orientation and shows procedures to others.
Assets
• StarRez software or residence planning software experience would be considered an asset.
