Working across the business to provide effective communication on IT contract and VMO matters, and building relationships with other teams to ensure effective dialogue between departments.
Assist our Operations and VMO team with establishing Service Requests, Project Requests and associated invoice reconciliation ensuring high levels of performance in these processes, accurate reporting, and establishing service improvement activities when required.
Managing communication to stakeholders in terms of the Contract lifecycle.
Assist in the review and validation of our Consulting and Professional Services SOWs.
Develop RFX processes and templates in partnership with internal stakeholders.
Managing continuous improvement plans and ensuring actions are followed through to completion in a timely manner.
Assist with intake requests via Enterprise Vendor Management team.
Development of CMS standard operating procedures.
Provide Contract Management System (CMS) Implementation support.
Assist with the post-implementation contracts management via the CMS.
Track and monitor status of active and expiring contracts, with a focus on contract compliance.
Organize and maintain vendor and contract database to enhance overall contract tracking process.
Onboard vendors to CMS including connections to our Finance and other internal systems.
Participate in our CMS UAT process.
Develop CMS training program in partnership with our CMS vendor.
Strategy: Plan, build and streamline the process for smooth transition of new technology deliverables to production operations. Conducting risk assessments and ensuring the overall project/workstream/process mitigates risk, fulfills business objectives, and aligns with enterprise strategies.
Continuous improvement: Participate in the developing, contributing, leading, and implementing continuous improvement initiatives across all VMO functions. Evaluate existing service processes and continuously improve it based on feedback results and business landscape.
Relationship management: Work with different team members for project updates, track major deliverables and prepare dashboard for leadership meetings. Developing and maintaining positive business relationships with multiple internal stakeholders, and external vendors ensuring a high degree of customer satisfaction while balancing the needs and interests of the organization.
Who are you?
A College/University degree or equivalent experience.
Must be eligible to work for Interac Corp. in Canada in a Full Time Capacity.
3+ years of experience within an operations function, project management office and/or vendor management.
Experience with ITSM tools such as ServiceNow.
Intermediate experience with Excel and PowerPoint.
Process design, implementation, and documentation.
Excellent communication both verbal and written, are client-focused, customer-driven and have an ability to work under pressure.
Experience drafting and issuing RFx documentation including requirements gathering, drafting, issuing and awarding RFx.
Experience with CMS systems.
Strong analytical, critical thinking and problem-solving skills and an ability to present clear, concise and effective solutions.
Exhibit meticulous attention to detail and excellent time management and organizational skills.
Proactive and take initiative to make decisions, identify and recommend improvements when required.
Previous experience coordinating internal and external stakeholder groups.
Can deal with all levels of the organization, plus external stakeholder organizations, including outsourced contractors, consultants and software vendors effectively and professionally.
Can manage multiple initiatives and priorities in a fast-paced collaborative environment.
Have the interest and aptitude to quickly learn new tools and technologies.
You are enthusiastic, highly motivated and detail-oriented individual.
Have exceptional data analysis skills including query development, optimization and quality delivery.
Strong organizational, analytical, planning, problem solving, interpersonal, listening, time management and conflict management skills.
