The incumbent will be reporting to the Manager, Case Management BC, and Recovery Operations, the Receptionist/Administrative Assistant provides a high-quality service experience to Red Cross beneficiaries and efficient administrative support to Wildfires and Floods case management teams.  

 

In this role, you will:

  • Accurately respond to general inquiries from staff, volunteers, individual consumers, donors, or professionals. Greet and direct individuals walking in for services to a Case Manager as appropriate;  
  • Answer inbound telephone calls and retrieves voice messages, determining nature of inquiry and transfers/forwards to the appropriate team member; 
  • Assist Manager, Case Management, BC Recovery Operations administrative and clerical tasks, including pulling data and information from various applications upon request;   
  • Help maintain and organize digital workspace (MS Teams/SharePoint). Editing, archiving, and uploading, tools and job aids to ensure personnel have access to the most recent guidance documents; 
  • Help prepare and distribute email communications; 
  • Order office supplies, track and manage inventory; coordinate with Logistics and Procurement Team as required.  
  • Arrange for courier pickups and receive incoming courier shipments of program supplies. 
  • Support with preparations, coordination & scheduling events, meetings, training sessions etc. upon request;  
  • Attend meetings and take minutes as requested; 
  • Assist with purchase requisition, purchase orders and expense claims related to the operations; Provide support to team members in submitting expense reports upon request;  
  • Assist Accommodations teams with reconciliation of invoices as required; 
  • Other duties as required. 

What we are looking for:

  • College diploma for administrative assistant with 1-3 years relevant experience, or an equivalent combination of education and experience in a related field. 
  • Advanced skills and experience with existing systems and core software applications, including Microsoft Office suite (including MS Teams, Outlook, SharePoint, Excel, PowerPoint, etc...) and CRC Plus.  
  • Experience using Emergency Management Information Systems (EMIS), or similar Client management software is considered a strong asset.  
  • Strong oral and written communication skills, including the ability to synthesize information and produce clear and coherent written reports in English. Additional languages are considered an asset.   
  • Strong organizational, prioritization skills, strict attention to accuracy and detail;  
  • Adherence to established processes, Reliability; 
  • The ability to contribute to a respectful and supportive workplace. 

Working conditions:

  • Most of the work is performed in an environment which is mostly clean and comfortable.  
  • This position is 35hr/week with availability to work primarily from the Merritt site between the hours of 8:30 A.M. to 4:30 P.M.  
  • Ability to travel to Kamloops 5-6 days per month to support service delivery, organize meetings, provide administrative support and reception support;  
  • Ability to respond during non-traditional hours (i.e., late night or weekends) and long hours of work in a demanding context.  
  • In disaster areas, as well as difficult and unstable conditions (environmental, physical, social, etc.) and uncomfortable conditions (noise, odours, smoke, humidity, vulnerable clients). These stressful rapidly changing environments, with limited information to make decisions, have the potential to affect the physical and psychological state of the responders on site.  
  • If driving for Society business; a valid driver's license is required with a satisfactory drivers’ abstract.
