What we offer
As the Purchasing Coordinator you are responsible for providing administrative support and coordinating the documentation required to finalize agreements between the company and its subcontractors and suppliers. You are responsible for creating community and model set up in the ERP system as well as maintaining subcontract pricing and extras to support the Purchasing team in delivering The Best Homeowner Experience.
What you’ll do
- Provides administrative support and coordinates the documentation and meetings required to finalize agreement between the company and its subcontractors and suppliers.
- Adheres to division-wide requirements for purchasing and production information required for entry into BuildPro and JD Edwards, and act as the key gatekeeper ensuring consistency, accuracy, and adherence.
- Enters data into JD Edwards system including community set-up, phase plans into community, and model set-up.
- Extract & format budget reports from JDE for VP & DP level approvals.
- Track contract expirations in JDE through the applicable processes; creates addendums to contract documents and uploads into JDE as required.
- Provide daily support to trades through fielding and redirecting inquiries within the Purchasing team and addressing inquiries with respect to Mattamy processes to assist trades, where appropriate.
- Enters data into JD Edwards system for subcontract pricing & extras. Downloading of subcontractor pricing from REMS and/or JD Edwards to Excel Tender Analysis and preparation of site/trade specific tender files.
- Aid in the resolution of invoice problems.
- Assist in the compilation of direct cost budgets for projects into the JDE system within strict deadlines.
- Create and maintain summary reports of trades as well as other summaries, lists, and report as directed and required.
- Provides administrative support to the Contracts Managers and Department VP.
- Sends out and follows up with “new supplier form” set-up.
- Additional tasks and projects are required to achieve department and company deliverables.
What you bring
- Working towards a post-secondary diploma or degree in Administration, Purchasing or Computer Applications would be considered an asset.
- Previous experience in an administrative role, with a heavy inclination towards working with numbers and spreadsheets.
- Advanced MS Office skills in Excel (particularly formulas & Macros), Word (i.e. mail merge) and Outlook, with above-average speed. JD Edwards system knowledge is a definite asset.
- Strong data entry keyboarding skills.
- Excellent written and oral communication skills, particularly in understanding/resolving problems.
- Detail-oriented with a high degree of accuracy in inputting and checking data.
- Strong work ethic with ability to work independently, be flexible, prioritize workloads, meet deadlines and work well under pressure.
- Extremely well-organized with strong analytical skills.
- Ability to build and maintain relationships internally and externally and thrive in a collaborative team environment.
- Open minded and a forward thinker with a desire to learn and take on new opportunities.
Bonus points
- Strong research skills with an aptitude towards math.
- Exposure to or understanding of architectural drawings.
