The role
Project Coordinator must be a confident self-starter with the ability to support teams to manage multiple priorities and competing deadlines. Working closely with our business partners, product marketing, product development, sales, and TOPS groups, you will support the coordinating efforts of products and processes for Business. Project Coordinator should understand organizational change management, scope definition, planning, milestones, schedule management, critical path items, communications and training tactics, and can lead within the project assigned. This role could grow into a Senior Project Coordinator or Project Manager role.
A typical day
• Lead or contribute to small and medium projects within Business
• Prepare and build presentations and reports with a critical eye on details around process and procedures;
• Communication inside and outside the working team to facilitate productive meetings to resolve issues
• Apply, communicate and practice organizational change management skills during the project to ensure it is successfully rolled out to all impacted stakeholder groups
• Organize, attending and participating in stakeholder meetings
• Documenting and following up on important actions and decisions from meetings
• Exercise excellent judgement in analysis and preparation of information for various levels of leadership
• Liaise and interface and manage correspondence between teams
• Coordinate the compilation of data from various sources and prepare stewardship reporting that meets governance timelines and requirements
• Produce & sustain inclusive project documentation on an as needed basis
• Support the project team with workshops and meeting preparation with internal and external partners including the development of materials and logistics setup, produce high quality and accurate outputs such as meeting minutes and action items, and assist with timely resolution to closure of gaps and issues
• Support sales and operations by facilitating training, working directly with SWAT team members, participating in team meetings and assisting with BA’s, PC’s and PM’s
• Develop, maintain and update project artifacts and maintain a well-organized filing system that permits easy reference and rapid retrieval of information
• Consolidate information on schedule, budget and resources required for project reporting and understand Shaw’s delivery model while participating as an active member of the integrated team
• Tracks project milestones ensuring deliverables are completed and meet project requirements
• Ensure warranty items are resolved
• Various other duties as required
Your skills/experience
• You possess a solid understanding of project best practices, policies, procedures, and processes to help support project management teams and you are familiar with project management tools (Microsoft Project, Excel, PowerPoint, SharePoint, OneNote)
• Strong computer skills with ability to effectively utilize Microsoft Word, Excel, Project, PowerPoint, Outlook, Windows and other operational applications, including the use of mobile devices
• Possesses excellent time management, communication and problem solving skills
• Ability to work in groups or self-led with minimal supervision
• Displays an ability to coordinate and collaborate with other professional disciplines
• Professional communication skills
• Maintains a positive relationship with colleagues to ensure projects run smoothly and resolve concerns promptly and efficiently
• You have a positive work ethic with strong interpersonal, written and verbal communication skills
• You apply your experience and technical knowledge to complete duties as assigned and draw on your problem solving and analytical skills to address issues and areas of opportunity
• You thrive in a dynamic, fast paced environment with multiple priorities, challenging demands and strict deadlines
Required Qualifications
• Two or more years of experience in a project environment with a large organization; or 2-5 years telecommunications
• Coordination of internal projects is preferred;
• Strong communication skills (written and spoken)
• Experience in project coordination involving interdependencies between business or functional processes is considered an asset
• Bachelor’s degree in business, communication, or a combination of relevant experience and post-secondary education
• Working towards the completion of a project management certification (e.g. PMP or CAPM) is preferred
• Training or facilitation experience will be considered an asset
• Has leadership, business analysis or operational readiness experience will be considered as an asset
• Shaw Business or B2B experience will be considered an asset
• Knowledge of agile methodologies and supporting tools will be considered an asset
