SUMMARY

This position is responsible for performing both mail and print services for approximately 550 office personal.  Establish relationships with both couriers as well as vendors that maintain the mail and print equipment.  Assist with room set ups, inventory and order stationary as well as purchase items and complete expense reports.  In addition to the duties listed this position is expected to fill in as the building technician when the technician is not on site.

KEY DUTIES & RESPONSIBILITIES

Mailroom

  • Receive, sort and log in an excel sheet all incoming boxes and envelopes
  • Deliver once a day to the floors all envelops
  • Process mail once a day with meter machine
  • Keeping track of the funds in the meter machine at all time
  • Send out Local/International shipments everyday including customs paperwork
  • Package and wrap boxes to be sent out by courier when needed
  • Send out all internal mail to all locations across the world every Thursday
  • Track all outgoing shipments until delivered and send confirmation to client
  • Process and overlook most bills related to the mailroom
  • Bank run twice a week to deposit checks for Payroll/A/R/Pension department
  • Keep track of all inventory needed (Envelopes, bubble wrap ect)
  • Place service calls when meter machine or envelop inserter are malfunctioning

Printing

  • Print and process payroll twice per month for 2500 employees
  • Print- Insert and Mail all T4 – RL-1 forms in February (Total 55,000)
  • Laminate documents
  • Bind documents
  • Print on Tabs for binders or binding jobs using PowerPoint
  • Print and prepare binders for business meeting presentations as well for Exco meetings
  • Print and cut nameplates for all offices and workstations
  • Print posters
  • Print 40,000 pages per month
  • Format print jobs
  • Keep track of all supplies for printers
  • Send Meter reads every month for billing
  • Do Mail merges through excel/word to process big mailing/print jobs
  • Various Urgent jobs which require immediate processing
  • Place service calls when printer is malfunctioning

Knowledge & Skills

  • High School plus technical knowledge within mail room/print shop (usually 3-5 years’ experience)
  • Be organized
  • Knowledge of Word, Excel, Power Point
  • Strong customer service skills
  • Bilingual
  • Ability to handle stressful situations
  • Ability to make cost savings recommendations based on experience
  • Knowledge on mailing systems and printers
  • Basic programing skills
