Reporting to the Plant Manager, this position provides support to the Peterborough Plant and other business functions across the company. Delivers first-rate administration and customer service to associates at all levels, and to external contacts as required.  Assists with the administration of Payroll, time keeping and related activities.

Delivery of payroll including the following

  • Submits weekly changes for the upcoming payroll run – this includes employee status change forms, payroll corrections; monitors to ensure banking and address changes updated in system
  • Maintain an up to date employee roster for each pay period
  • Support the weekly payroll process by reviewing all payroll edit documents and register preview and signing off the timecards prior to Payroll processing the final run with UltiPro
  • Check payroll preview for accuracy, notifying payroll of any errors or inconsistencies
  • Submit all payroll related month end documents to Accounts Payable for processing
  • Act as lead interface between payroll and plant; proactive in understanding and resolving any payroll related inquiries.

Time keeping and related administration including

  • Create and maintain employee files/process employee changes
  • Assemble and assist in the preparation of employee orientation packages for new hires and assist with new hire orientation and training
  • Responsibility for all Kronos time and attendance administration – new hire set ups, terminations, scheduling, etc.; maintaining employee accruals; act as Kronos super user and trouble shoots time and attendance issues
  • Probation tracking for all hourly new hires, including creating and distributing packages at probation completion
  • Update the seniority list/address list and forward to Union quarterly
  • Calculation and reporting on vacation and sick pay outs and accruals
  • Maintain Phone list for the plant
  • Assist with benefit administration
  • Manage and track annual distribution of safety footwear, eyewear, freezer ware, and tool allowance POs per CBA requirements
  • Manage employee annual increases per the CBA, including ensuring the calculation of any retro pay,  updating payroll, and updating Kronos systems for same

 Reception

  • Administrative Co-ordinator for the plant
  • Greets customers and managers the sign-in procedure for guests and visitors and answers and directs incoming calls
  • Monitors attendance and sign-in board for associates

General Administration

  • Create POs for all departments & copackers, as needed
  • Research and resolve payment issues to suppliers and for P-Card charges
  • Manage good receipts & new vendor creation
  • External communication with suppliers to schedule meetings, manage unsolicited calls &  manage day to day tasks
  • Handle invoices and accruals
  • Handle goods receipts, donations program, supplies, mail and others
  • Organize plant meetings, events and activities, onsite and offsite, as required
  • Handle month and year end accruals for plant expenses, petty cash, back up tapes, uniform, utilities etc.
  • Plan and manage all team activities to include Service Anniversaries, Live Positively; evaluate options for space and costs to prepare an overall budget for each event.
  • General understanding of our processes to identify issues and areas needing improvement, participate with the Plant on process improvements.
  • Monitor and order office supplies

Qualifications

  • Minimum 5 years of experience in Administrative role supporting payroll, timekeeping and purchasing
  • Intermediate Certificate/ Associate Degree in business
  • Previous experience working in a unionized environment
  • Demonstrated knowledge of payroll and employment legislation
  • Experience with SAP purchasing, Kronos and payroll systems
  • High proficiency in computer applications including MS Word and Excel
  • Professional, impartial and confidential conduct
  • Strong ability to research, analyse information and make recommendations
  • Good communication skills
  • Ability to work on multiple priorities & multi task efficiently
