Job Summary
Under the direction of the Manager, Facilities Planning and Programming Services, the incumbent provides technical expertise and operational support, advice, and assistance related to the efficient and effective use and design of all existing and potential College space, as well as the design and recommendation of appropriate learning environments, student services, common areas, and office environments.
The position contributes towards the improvement and enhancement of college environments through effective space programming and design, the improved and efficient layout of all college owned and operated facilities and properties, through the evaluation and acquisition of innovative furniture, fixtures, and equipment, and through the management and completion of assigned projects from inception to fulfillment.
The Incumbent plans and develops proposals in concert with the Campus Master Plan (CMP) and in accordance with the Ontario Building Code (OBC), fire code, and current Accessibility for Ontarians with Disabilities Act (AODA) guidelines. Finds creative and innovative solutions to resolve evolving space challenges through sound design and project planning and execution.
The incumbent is responsible for all aspects of project development and design, including but not limited to:
- Meeting with project sponsors to evaluate and establish needs;
- Defining usage scenarios and making alternate recommendations when required;
- Development of solutions, and creation of drawings for review and approval;
- Furniture and vendor selection, including price negotiation;
- Creation and maintenance of Project Charters, Plans, Schedules, Budgets, etc.;
- Project coordination with the Engineering Services team for project fulfillment;
- Appropriate level of coordination with approvers and stakeholders
What you’ll be doing:
- Investigates and prepares space proposals and alternatives including a review and evaluation of the economic and environmental impact.
- Consults with and advises all levels of college personnel, departments and areas concerning space requirements, facility renovations, efficient space layouts, including productive and ergonomic workstations and furniture.
- Assist with the preparation of Project Charter documentation including renovation and furniture, fixture, and equipment (FF&E) specification documentation and cost estimates.
- Prepares presentation-quality conceptual sketches, drawings and layouts in 2D and 3D formats for client input, review and approval, and working drawings to guide consultants and/or contractors.
- Works with College Facilities Management and Engineering Services, consultants, contractors, suppliers, and consulting engineers on all matters related to the planning and development of new construction and renovation projects including budgeting, cost estimating, scheduling and timing.
- Involvement in assigned projects ranges from initial programming and planning, to the development of project constraints (scope/budget/schedule), to space and element designs, to procurement of project FF&E.
- Reviews, evaluates and makes recommendations concerning the acquisition of other software including computer aided drafting software (AutoCAD), Microsoft Office Programs (Word, Excel, Project, Power Point, Access, etc.), Trimble Sketchup 3D, and Adobe Create Suite.
- Maintains and electronically archives pertinent documentation, drawings and files related to proposals & projects.
- Initiates, plans and coordinates lab, classroom and office set-ups.
- Liaises with department and area administration, faculty, and staff, Facilities Management, Information Technology Staff, and Contract installers concerning the timely relocation and/or installation of workstations, furniture, fixtures, and equipment.
- Scope of work includes determining, designing, and implementing the location of Smart Classroom technology & dedicated lab equipment, communications & data distribution hubs and terminals, provision of required electrical supply and terminals, and provision of required mechanical connections and HVAC systems.
- Initiates and prepares detailed purchase requisitions and Facilities Management work orders, including the preparation of supporting documentation and drawings.
- Sources, specifies, and procures required FF&E elements and renovation materials.
- Reviews estimates and ensures that projects are within budget allocations.
- Assists the Director and Manager of Planning with the conceptualization, development, and programming of Campus Master Plan initiatives. This includes the evaluation of project merit and compatibility with long-term goals and direction of the CMP.
- Stays current with space planning and design trends in higher education environments to be positioned to offer innovative suggestions and solutions to ever-evolving challenges.
- Attends industry-related trade shows and facility tours.
- Maintains a library of relevant furniture, fixture, & equipment literature, brochures, catalogues, binders etc.
- Gathers, compiles and provides space, equipment and furniture related statistics and information to help with the development of space planning proposals.
- Maintains a database of college classroom and office environments.
- Mentors and co-ordinates work assignments for Co-op and work study student (up to 3 at a time)
- Field verifies space as required.
- Other duties as assigned.
What you’ll bring to the role:
- 3-year diploma/degree in a related field of study such as Architectural Technology or an equivalent combination of education and practical experience.
- Emphasis on Space Planning & Design principles (including advanced AutoCAD training) are an asset.
- Minimum of three years relevant work experience.
- Proven experience in effective space planning & design principles (including working knowledge of relevant legislation & guidelines).
- Consulting, project management, finance and budgeting, and resource management.
- A higher level of experience in 2D and 3D computer aided design software, Spreadsheet / Word Processing, and general construction principles.
- Demonstrated ability to conduct research and effectively analyse and assimilate project-related data and technical information.
- Effective and professional written and verbal communication skills,
- Demonstrated commitment and understanding of human rights, equity, diversity, inclusion, and accessibility.
- The ability to communicate and work effectively with diverse students, employees, and communities.
- Membership in one of the following professional associations is preferred:
o Society of College and University Planners (SCUP)
o The Canadian Association of Certified Planning Technicians (CACPT)
o Ontario Association of Certified Engineering Technologists (OACETT)
o Association of Registered Interior Designers of Ontario (ARIDO)
