Global Banking and Markets
Global Banking & Markets provides a full range of investment banking, credit and risk management products and services relevant to the financing and strategic development needs of our clients. Our products include debt and equity financing, mergers & acquisitions, corporate banking, institutional equity sales, trading and research, fixed income products, derivatives, energy, foreign exchange, and precious & metals. We also cross-sell the full range of wholesale products and services offered by the Scotiabank Group.
Purpose
Contributes to the overall success of the Stock Transfer/Settlements & Clearing in Toronto/Canada/GWO ensuring specific individual goals, plans, initiatives are executed/delivered in support of the team’s business strategies and objectives. Ensures all activities conducted are in compliance with governing regulations, internal policies and procedures. The incumbent manages the specialized securities transfer requirements in accordance with Scotiabank’s policies and procedures.
Accountabilities
- Champions a customer-focused culture to deepen client relationships and leverage broader Bank relationships, systems and knowledge.
- Ensures that the responsibilities of the unit are managed in a timely and accurate manner by:
- Processing all securities re-registrations, deposits/withdrawals, account transfer in & out requests are processed within acceptable timelines
- Ensuring all movement of securities within the various locations and the in/out of client’s accounts are properly reflected on Broadridge and scanned to reflect transactions
- Identifying documentation required to render securities negotiable and maintaining constant follow-up with account executors
- Updating the IIROC table monthly to reflect outstanding items carried over month-end and items over 45 days, maintaining constant follow-up required for management review and IIROC reporting
- Collect instant fees and request cheques for processing transfers
- Accurately process appropriate bookkeeping entries and ensure that the securities are distributed to the appropriate location or department
- Scan all transactions in and out of box locations
- Maintain custody of all negotiable securities in accordance with bank policies & IIROC regulations
- Process securities incoming from branches and outgoing to branches on VPS Transit system by:
- Recording all registered mail items and photocopying Purolator envelopes, and distribute and obtain signatures of recipients for tracking purposes
- Verify to ensure securities are properly recorded on Broadridge by verifying quantities, descriptions and ADP codes with that of securities received
- Verify negotiability and distribute accordingly to the appropriate desk (Deposit/Safekeeping/Legal or Corporate Action)
- Outgoing securities should made negotiable if in nominee name
- Mailed by registered mail/Purolator
- Deliver to mailroom after 24-hour hold
- Monitor “over delivery report” for sold securities
- Process appropriate entries
- Ensure all incoming and outgoing securities are scanned
- Facilitate the accurate settlement and processing of GIC purchases
- Ensuring all cash settlements are processed in a timely basis via ABB, Webpost and Arrow
- Ensuring corresponding entries are processed on Broadridge through KPAU for 061 and 191
- Process GIC cancellation and amendment requests
- Ensuring issuer is notified immediately by e-mail about the amendment or cancellation
- Obtain confirmation of request
- Follow-up for incoming funds
- Accurately process appropriate entries to Broadridge
- Notify the Contracts department to proceed to make necessary entries to client’s account
- Participate and/or assist in training/cross-training as required by management
- Acquire and maintain a thorough knowledge of all related settlement system and all related operation protocols
- Perform administrative functions as required including:
- Assisting in the resolution of any related reconciliation concerns and taking appropriate action to prevent any re-occurrence
- Referring any non-routine/exceptional transactions to the immediate attention of management
- Acquire and maintain a thorough knowledge of all department related operational protocols and all depositories and system applications used by the group
- Understand how the bank’s risk appetite and risk culture should be considered in day-to-day activities and decisions
- Actively pursue effective and efficient operations of his/her respective areas, while ensuring the adequacy, adherence to and effectiveness of day-to-day business controls to meet obligations with respect to operational risk, regulatory compliance risk, AML/ATF risk and conduct risk, including but not limited to responsibilities under the Operational Risk Management Framework, Regulatory Compliance Risk Management Framework, AML/ATF Global Handbook and the Guidelines for Business Conduct

Requirements
- Must possess working knowledge of all Excel, Broadridge, CDS
- Excellent communication & organizational skills
- Solid planning skills, with attention to detail and the ability to prioritize
- Must exhibit sound judgment and sound decision-making ability
