Job Summary

 

Responsible for assisting the Manager, Residence Admissions & Leasing to ensure occupancy targets are met by applying established residence admission criteria to maximize residence occupancy. Evaluate and assess applicant files and process residence admission and allocation decisions for all undergraduate and graduate residence students. Provide and coordinate information and assistance to departments and current and prospective students related to residence eligibility, application, housing options, preparing leases, and processing tenancy lease terminations and renewals.

 

 

 

Purpose and Key Functions

  • Provide information on eligibility requirements, procedures, and deadlines to current and prospective residents (e.g., undergraduate, graduate, family, transfer, exchange, etc.) for admission to housing.  
  • Provide excellent customer service to current and prospective residents and their families by addressing the needs of the residents, providing appropriate solutions to concerns and following-up to ensure a resolution is met. 
  • Support the Manager, Residence Admissions and Leasing to calculate, analyze and provide recommendations on application and admission processes.  
  • Review, and analyze application and allocation processes to find efficiencies and makes recommendations to maximize residence occupancy.
  • Review and process admissions decisions to admit or refuse applicants to residence based on established prerequisites, university and housing guidelines, occupancy number, contract, and lease terms.
  • Communicate with applicants who are not qualified for residence and make appropriate referrals to alternate accommodations. 
  • Administer housing admission processes including monitoring and organizing applications, reviewing documents, and adjusting wait lists. 
  • Coordinate the efficient and effective allocation of residents to available spaces.  
  • Support the creation of residence communities and lifestyle options which will enhance the residence experience.
  • Maintain student documentation records related to application, accommodation requests and appeals.
  • Maintain an accurate record of current and future vacancies based on end dates of current leases and re-applications by existing residents. 
  • Assist with the logistics for new admits, cancellations and withdrawals, and room changes.
  • Support business analysis activities and data management strategies for occupancy trends and reports.
  • Support the research, review, and analyze of housing data from other institutions.
  • Recommend changes to housing admission policies and procedures that will assist HCS to remain competitive with national and international educational institutions. 
  • Maintains a comprehensive, cross-functional understanding of business processes, enterprise systems, and university databases as it relates to student enrolment, admission to residence and residence occupancy. 
  • Supports the regular review of programs, policies, and procedures.
  • Supports the development of residence terms and conditions, and ensures contracts reflect department policies, procedures, eligibility, and important dates, as determined by the undergraduate/graduate calendars. 
  • Assist with residence and university recruitment events.
  • Ensures residence financial deposits and residence fees are processed and reconciled following the direction of the Manager and in collaboration with other departments.
  • Required to work some weekends and evenings during peak operational times (e.g., move-in and move-out).
 

Education Requirements:

  • College degree in a relevant field
  • Requires a minimum of 2 years of relevant experience in student and/or tenant housing sector or equivalent experience
