PURPOSE OF THE POSITION:
Plan, prioritize and provide administrative support to the local Operation’s team. Improve the effectiveness and productivity of the local support team members to ensure efficient, effective and consistent service throughout the Pacific Region. Provide support to General Manager and other senior managers within Pacific Division.
POSITION ACCOUNTABILITIES:
- Lead, coach and mentor support services team (five direct reports) in Pacific Division
- Accountable for talent management, career development and annual performance management process for direct reports
- Ensure delivery of both transactional and systemic administrative processes and reports to meet prescribed timelines
- Provide administrative support to General Manager- Pacific Division and other local senior managers
- Manage all pay related items such as position changes, corrections, discipline, weekly indemnity, etc for unionized employees
- Prepare various bulletins and reports as required for Pacific Division
- Order and maintain stores of all supplies including stationery, radios, forms, telephone/iphone, water supplies, switch keys, crew kits and such
- Provide technical software support for various systems used by unionized employees
- Provide assistance with various administrative forms related to union employees including WIB, Pension applications, notice to resign and such
- Perform a variety of administration functions including organizing meetings/training/workshops, handling general correspondence and filing, computer system and facility security access for new/existing employees and termination of same for exiting unionized employees
- Responsible for overall vehicle fleet administration
- Oversee coordination of regional events (family days, holiday celebrations, team building initiatives)
- Manage the coordination of Quarterly Safety Walkabouts for Pacific Division
- Collaborate with HR to support onboarding initiatives for new managers as needed
- Process payment of all operations related invoices
- Maintain weekly and monthly analysis of union employees’ safety reports (efficiency tests, absenteeism, incidents) for the region
- Other duties as assigned
POSITION REQUIREMENTS:
- Minimum high school diploma, Business Degree preferred
- 5+ years of relevant professional experience, including leading and managing projects or programs with outcome-focused deliverables, or equivalent combination of education and experience
- 5+ years of relevant experience leading/managing a team
- Railway work experience is a strong asset
- Strong analytical, planning, facilitation & organizational skills
- Excellent communication skills, both written & verbal
- Ability to maintain confidentiality and deal with confidential information
- High proficiency in MS Office applications (Outlook, Word, Excel, Power Point)
