Indigenous Awareness Programmer
Reporting to the Manager, Indigenous Student Services, the Indigenous Awareness Programmer will support Indigenous Student Service Department in organizing events, awareness activities and other initiatives to enhance the student experience.
The incumbent is responsible for supporting the planning, execution and reporting of all annual Indigenous Student Services events, including handling vendors; budget monitoring and projections preparation, rentals coordination, events set-up and take-down, among other duties.
Responsibilities:
The duties of this position will include, but are not limited to the following:
Event Planning
- Assists in the development, coordination, implementation and evaluation of Indigenous students, the broader Mohawk student population and community focused events, by:
o Organizing and implementing signature events for Indigenous Student Services as well as all campuses
o Assisting in the recruitment of volunteers and student staff
o Producing appropriate invites and signage for events
o Coordinating rentals including any pre-visits and onsite vendor interactions
o Event set-up and take-down
o Reserving a facility or room for activities and events
o Proposing and producing promotional materials as required with assistance from Marketing
o Ensuring each activity and event is advertised through the appropriate media outlet
o Working with the Indigenous Student Services Office as the lead organizer to assist with scheduled activities, events and ceremony details
- Ensures that all facility and event requirements adhere to college policies and relevant legislation, following risk management protocols in event planning to protect the health and safety of all participants
- Makes initial first contact with individuals/groups needed for events/activities to discuss details and cost
- Provides administrative support, such as: filing, faxing, typing, copying, etc.
- Collects & submit invoices for payment to Supervisor
Reporting
- Provides event summary reports for all annual Student Service events.
- Captures details of each planned event including attendance, budget, marketing, planning time and direct student feedback through evaluation forms.
- Reporting and documenting statistical information from all events
Budget
- Provides budget analysis for annual events, creates detailed budget projections, and tracks actual funds spent per event.
- Completes corporate Visa card and expense claims as per College policy as well as enters and tracks invoices for payment.
- Monitors budget expenditures and revenues and ensure bill payments are processed in a timely fashion
Other related duties as assigned.
Qualifications:
The successful incumbent will have:
- A minimum of 2-year post secondary education in Business Administration, Event Planning, Public Relations, or similar field
- Knowledge of Indigenous community resources and Indigenous protocols
- Knowledge of Indigenous culture, beliefs and practices
- Valid Driver’s License an asset (lack of would limit incumbents ability to travel between campuses, pick up equipment and supplies, meet with vendors.)
- A minimum of 3 years of experience in an educational institution, or similar setting, working with an Indigenous as well as a multicultural-diverse population. The incumbent must have experience planning large scale events at a post-secondary institution
- The incumbent must have experience working independently and solving a wide range of problems. This position requires the ability to work under pressure, handle several projects at once and meet deadlines.
